**Responsibilities**
- Perform a variety of administrative and clerical activities for multiple staff ensuring timely adherence to deadlines
- Review, sort and distribute incoming and outgoing mail and couriers
- Review, modify and prepare comprehensive templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/data, as applicable
- Assist in the preparation of regularly scheduled reports
- Fax, photocopy and scan documents as required
- Assist with projects and in the creation of presentations as needed
- Maintain electronic and paper filing systems
- Manage and coordinate multiple calendars
- Coordinate and schedule internal and external meetings, appointments and team social events
- Coordinate travel arrangements and reservations
- Contribute to the development of new ideas and approaches to improve work processes
- Work collaboratively with other team members and leadership
- Reception relief support:

- Courteously receive and screen all incoming calls
- Greet, assist and direct all visitors in a professional manner
- Coordinate incoming and outgoing courier packages
- Coordinate building maintenance requests
- Process client credit card payments
- Reserve meeting rooms and maintain cleanliness of rooms

**Skills and Experience**
- Post-secondary education in administration is considered an asset
- 2 to 4 years of related administrative experience in a professional working environment
- Strong computer literacy included effective working skills of Microsoft Word, Excel, and PowerPoint
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
- Some travel may be required

**Responsabilités**
- Accomplir diverses tâches de nature administrative.
- Passer en revue, modifier et préparer les gabarits, les lettres, les rapports, les présentations PowerPoint, les documents Word, les feuilles de calcul Excel ainsi que tout autre document de correspondance détaillé; effectuer des recherches et des compilations de données et en présenter un résumé.
- Rédiger les procès-verbaux de diverses réunions et les distribuer aux personnes qui étaient présentes, ou les archiver.
- Maintenir les systèmes de classement électroniques et papier.
- Gérer et coordonner plusieurs échéanciers.
- Coordonner et planifier les réunions à l’interne et à l’externe, les rendez-vous et les activités sociales de l’équipe.
- Coordonner les préparatifs de voyage et les réservations.
- Prendre part à l’élaboration de nouvelles idées et méthodes visant à améliorer les procédures de travail.
- Collaborer avec les autres membres de l’équipe et les dirigeants.

**Compétences et expérience**
- Formation postsecondaire en administration, un atout
- 2 ans d’expérience administrative dans un milieu de travail professionnel
- Excellentes compétences en organisation et en ges
