**FUNCTIONAL SUMMARY**:
The Human Resources & Payroll Coordinator works directly with the CFO to ensure that all payroll functions for the organization are carried out in a timely manner to ensure compliance. They will also work on human resources processes with matrix reporting to the Human Resources & Administration Manager. This role plays a key role in the organization’s human capital management strategy by supporting the human resource functions, including but not limited to compensation and benefits, recruiting, on-boarding and record keeping.
**MAIN DUTIES & RESPONSIBILITIES**:
**Payroll Functions**
- Review Full time hires and temporary agencies timesheets biweekly and follow up with Supervisors as needed.
- Ensures proper payroll is processed and deductions are processed through the organization’s payroll system.
- Gather, summarize, and send off Timesheets and supporting files to agencies weekly.
- Follow up with discrepancies on timesheets weekly.
- Verify and enter special payments such as bonuses and commissions.
- Work with HR to ensure payroll records are up to date and resolve Payroll-related inquiries.
- Process new hires, terminations, changes to pay, leaves and vacation adjustments and any other related information.
- Prepare and maintain employee documentation (i.e., employee profile changes, taxable benefits and allowances and advances
- Complete monthly payroll reports including WSIB and Benefits
- Undertake year-end tasks and reconciliations.
- Update third party benefits provider on a timely basis of any employee enrollment, benefit termination and salary change
- Issue ROEs and respond to payroll and/or benefits related enquiries.
- Prepare, post, and reconcile payroll journal entries after each payroll.
- Review and post monthly group insurance invoices to ensure accuracy.
- Ensure petty cash is being tracked and maintained.
- Assist accounting team in posting vendor invoices (temp agencies).
- Performs other related duties.
**Human Resources**
- Manages benefits plans, including enrollments, changes, terminations.
- Works with Human Resources & Administration Manager to implement recruitment strategies and interview process.
- Manages new hire on-boarding, including orientation, new hire paperwork, and initiating drug screens and background checks.
- Processes all aspects of employee information from initial hire process to termination including data entry into payroll, timekeeping and benefits carrier systems to ensure accurate record keeping.
- Conducts audits of benefits, personnel files or other HR programs and recommends corrective action (Implements corrective actions as directed)
- Assists with the preparation of the performance review process.
- Coordinates employee engagement initiatives
- Ensures all up-to-date legal postings are placed in a designated area within established timeframes.
- Manages office administration protocols in collaboration with Customer Service Representative & Office Administrator
- Supports Human Resources & Administration Manager in HR tasks.
- Performs other related duties.
**Other**
- Complies with safety regulations.
**EDUCATION/QUALIFICATIONS**:
- Diploma in Accounting/ Human Resources
- Certificate in Payroll or in progress
**EXPERIENCE**:
- Minimum of 1-2 years of related payroll experience preferably Ceridian and/or ADP experience
- Preferably one year of related human resource experience
- Commitment to payroll best practices and regulations including knowledge of payroll law/regulations
- Knowledgeable of logistics or transportation experience is desirable
- Proficient in Microsoft Office
