**KEY RESPONSIBILITY AREAS**:

- Ensure all project documentation is created, reviewed, and maintained to industry standards and filed in appropriate projects.
- Indirectly reports to the Project manager for all issues and task assignments
- Assists with setting up meetings & material for the PM for project planning
- Assist as needed with documenting project scope, goals, and deliverables
- Work with PM to define and document tasks and required resources and enter into PM software
- Prepare reports for the Project Manager as needed
- Assist with paperwork related to maintaining the project budget & entry into PM software
- Maintain the project log for risks, issues, change requests and decision requests and all documents are approved as per the project governance workflow
- Timely entry of all projects related tasks into the Project management software
- Responsible for meeting notes & recordings for all projects
- Collaborate with internal and external teams for scheduling meetings, project execution and determining requirements
- Assist with the facilitation of IT and functional requirements definition, translate project goals, scope of work, budget, timelines as it relates to the project where needed
- Set meetings and communication cadence with the team - schedule regular touchpoints with the team and work with the Communications manager / CM lead to tailor communication and training initiatives.
- Proactively identify roadblocks and risks and assist with developing a risk mitigation plan.

**QUALIFICATION AND SKILLS**:
- Proficiency in project management software tools is considered an asset
- 1+ year of related experience or relevant education
- LEAN or OCM certification/designation is considered an asset.
- Insurance experience is considered an asset.
- Experience leading or participating requirements gathering activities is a plus.
- Excellent verbal and written communication skills, including strong presenter and facilitator skills
- Experience with Microsoft Office products
- Excellent attention to detail, time management, planning and task prioritization ability
- Strong analysis, critical thinking, & problem-solving skills
- Ability to perform under pressure, meet deadlines and handle multiple, and sometimes conflicting priorities.
- Strong relationship building and team skills with the ability to build rapport with a wide variety of people across the organization.
- A high degree of personal ethics, integrity, and responsibility with an ability to deal with sensitive issues and safeguard confidential information.
