**Summary**:
The Administration Coordinator position serves as an important link between the internal and external stakeholders of the operations. The Administration Coordinator works closely with inventory and Billing and will provide back up and support when required.
**Duties and responsibilities**:
- Answer phone calls and direct or assist callers as appropriate
- Assist walk-in customers and visitors
- Provide strong customer care
- General reception duties such as taking care of the mail, ordering supplies and assisting with office functions.
- Record and report meeting minutes
- Respond and follow up to customer inquiries
- Enter orders into SAP
- Investigate issues and discrepancies
- Liaison between customers and our operation and sales teams
- Work with third party providers to arrange services
- Trouble shoot problems, and communicate with appropriate stakeholders
- Assist in tracking orders & inventory
- Assist billing functions
- Maintain Customer portal
- Pull KPI’s and other various reports from SAP
- Other duties as assigned
**Qualifications and competencies**
- **Must have’s**:_
- A post-secondary education
- Strong organizational skills and attention to detail
- Strong aptitude for problem solving and creating efficiencies
- Ability to prioritize conflicting demands
- Desire to work in a challenging, fast paced environment with tight deadlines
- Excellent written and verbal communication skills
- Maturity, professionalism, and high level of confidentiality and discretion
- Strong work ethic with a positive, can-do attitude
- Demonstrated ability to work effectively as part of a team
- Willingness to lead and take initiative.
