**Administrative Assistant**

Under the direction of the Administrative Services and Housing Manager, the Administrative Assistant will provide essential support to our Motherhouse operations, department managers, Sisters and Tenants ensuring smooth communication and efficient workflow.

This is a part-time position, Tuesday, Wednesday and Thursday. We welcome the experience of someone who can stay effectively organized. Someone who is responsible, reliable, and highly professional, that’s also enthusiastic and a tenacious team player.

Your ability to multi-task, while managing your own work is essential to this position. You need to be resourceful, adaptable, and a good problem-solver who can handle a changing and growing environment with ease. You are also efficient and comfortable taking direction from and supporting multiple department managers, sisters and others. You also know that clear communication, and teamwork is the key to a successful workplace.

**Other areas of Responsibility**:

- Taking, transcribing of meeting minutes, agendas.
- Designing and developing flyers, and communication posters, and memos.
- Providing back up coverage and operations support at reception / switchboard when required while respecting collective agreement.
- Providing administrative support to IT such as updating communication displays.
- Coordinating and supporting the delivery of our Surge On-line training and education platform.

**Qualifications and Skills**:

- Proficiency in MS Office with expertise in Microsoft Word, Outlook, PowerPoint and Excel is mandatory.
- Experience with design platforms such as MS Publisher and Canva an asset.
- Detail-oriented and able to work effectively with tight deadlines.
- Comfortable working autonomously with mínimal supervision maintaining a high level of confidentiality.
- Superior organization skills, ability to coordinate multiple calendars (i.e.: events and meeting rooms). Dedication to completing projects in a timely manner.
- Strong communication (oral and written) and customer service skills.
- 4-5 Years experience in Business Administration
- Bilingual (French and English) considered an asset
- Post Secondary Diploma/Degree _**(required)**_
- Police Vulnerable Sector Check - less than 1 year old _**(required)**_
- 2 step TB test - (or updated status) _**(required)**_
- COVID 2 Dose + 1 Booster vaccinations _**(required)**_

**Job Type**: Part-time

Pay: $19.50-$22.00 per hour

Expected hours: 22.5 per week
