**Summary**
As a member of the Property Management team, the Property Coordinator’s primary responsibility is to oversee and coordinate all property management activities for Forthright Properties. You will work with the Maintenance department to coordinate necessary maintenance requests and work orders. As an integral part of the Property Management Team, you will have continual communication with tenants. This position will work at the Navin, Manitoba location.
**Responsibilities**
- Understand, apply, and advise on all RTB rules and regulations as it pertains to residential tenancy; keep abreast of yearly changes and upcoming legislation to the RTB act and maintain relationships with staff members at the branch.
- Attend RTB & RTC hearings and/or appeals, including preparation of files, for all claims.
- Custodian of current resident files - kept up to date/discrepancies such as occupants of the suite.
- Notices created, coordinated, sent, and followed through:
- Notice of termination for tenancy-related issues.
- Individual warning notices
- Creation of water bill charges in the form of a notice and charged to the tenant ledger
- Water bill notice follow up
- Notice of maintenance or contractor repairs
- Ensure all communication with residents are recorded in Yardi, all phone correspondence is added to memos and all written communication is added to attachments.
- Set up mediation payments with claim residents, directly, or through RTB.
- Administration of resident profiles in Yardi, new leases, and lease assignment process.
- Manage the property characteristics within the Yardi operating system including rent charges, other monthly charges, suite numbers and counts, parking spots and counts, etc.
- Manage the lease renewal process, including ensuring documents are prepared and distributed to meet the monthly deadline, negotiating rent increase proposals and counter proposals with residents, following up on late returns, and reporting on overdue/troublesome ones.
- Reply to, and address, resident complaints, and questions.
- Ensure Maintenance charge back letters are correct and delivered to residents in a timely manner. Complete deposit accounting for all outgoing residents
- Create and distribute end of year rental receipts.
- Coordinate property maintenance with the maintenance dept. Ensure all work orders are entered in a timely manner, and repairs are completed.
- Assist in scheduling tenant move ins and move outs.
- Complete move ins and move outs, ensure all documents are correctly filled out, any deficiencies are noted, meter readings are correct, and residents are shown how to properly operate the furnace, HRV unit etc.
- Complete move outs ensure all damage is documented, noted on the condition report, and relayed to the outgoing resident. Ensure meter readings are taken and entered landlord express.
- If located in satellite office, additional responsibilities include, assist in maintaining the property’s common areas, both interior and exterior and assist with Leasing duties as needed.
**Qualifications**
- Grade 12 education or GED preferred.
- Minimum three (3) years experience in Property Management preferred.
- Knowledge of Entrata Property Management software an asset.
- Must have a class 5 Driver’s license.
- Customer service experience considered a strong asset.
- Strong interpersonal and communication skills proven in prior responsibilities.
- Experience negotiating and persuading customers to commit to a product or service.
- Above-average problem-solving skills that are expressed through independent decision-making endeavors.
- Highly organized and team orientated. Strong support skills
- Able to mediate and resolve difficult situations.
