**About the Role**
We’re looking for an organized and proactive **Sales Coordinator** to keep our sales and estimating functions running like clockwork. In this role, you’ll be the central hub for proposals, schedules, documentation, and communications, ensuring projects flow smoothly from bid stage to execution.
**What You’ll Do**
- Prepare and organize proposals, bid letters, and documentation with accuracy and attention to detail.
- Maintain the estimating schedule, assigning projects to estimators and ensuring timely follow-up.
- Download and organize bid packages, including drawings, specifications, and addenda.
- Complete pre-qualification documents for clients efficiently and accurately.
- Prioritize and schedule high-profile projects for review and approval with the right stakeholders.
- Fill out bid forms and request bid bonds as required.
- Keep the CRM database updated with new sales orders and finalized information.
- Complete Order Entry Forms (OEF) to seamlessly hand off projects to the operations team.
- Coordinate transfer meetings between Sales, Project Managers, and Engineering once projects are awarded.
- Maintain detailed project listings post-award and assist with weekly reporting.
- Act as the communication bridge between sales managers and estimators, ensuring alignment.
- Support process improvement initiatives to streamline estimating and sales coordination.
**What You’ll Bring**
- Strong Microsoft Office skills (Excel, Outlook, Word).
- Excellent organizational skills with the ability to juggle multiple priorities.
- Clear and professional communication skills (written and verbal).
- Meticulous attention to detail and commitment to accuracy.
- Experience with CRM systems and maintaining precise records.
- A proactive mindset with strong problem-solving abilities.
- Ability to work independently as well as collaboratively in a fast-paced environment.
- Previous experience in a sales or estimating environment (construction industry experience is essential).
- A minimum of a high school diploma (post-secondary education in business, marketing, or related fields is an asset).
