Reporting to the Director, Faculty Affairs, the Faculty Mentorship Program Coordinator will serve as the main point of contact for the Faculty Mentorship Program. The Faculty Mentorship Program is a structured, goal oriented and time limited program that focuses on research, clinical teaching, transition to practice and supporting learners for whom mentorship is core to their curriculum. The Coordinator will be responsible for the planning, scheduling and implementation of the Faculty Mentorship program and related initiatives including, but not limited to, recruiting mentors and mentees, developing processes, policies and procedures for the associated program and initiatives, monitoring the costs/budget, faculty and participant scheduling, as well as tracking the progress of participants through the programs. The Coordinator will also be responsible for the ongoing evaluation of the mentorship program, which will include data collection, analysis, and report writing.

**Responsibilities**:
Tasks may include but are not limited to the following:

- Under the direction of the Clinical Mentorship Lead and Director, Faculty Affairs, work with key stakeholders to establish, plan, coordinate and implement a Mentoring Program which meets the needs and interests of program participants.
- Coordinate all aspects of the mentorship program including but not limited to, participant tracking, scheduling, recruitment and matching activities, participant correspondence in accordance with best practices.
- Develop and maintain collaborative working relationships with Continuing Education and Professional Development (CEPD) and other NOSM University Portfolios
- Provide administrative support, such as coordinating meetings, developing agendas and taking meeting notes, following up on action items, and tracking, to the Clinical Mentorship Lead, mentors, mentees and peers at all stages of the mentorship processes.
- Coordinate all scheduling and logistics requirements for the mentorship orientation and skills development sessions.
- Prepare and submit mentor payments to Finance for processing.
- Provide administrative support to Scientific Planning Committee (a group that meets to discuss and implement faculty development education regarding faculty mentorship), faculty mentors, and mentees on-site or via technology during program delivery.
- Keep informed of current research and information relevant to the mentorship program to ensure best practice, standards and protocols are established and maintained throughout the aforementioned program.
- Act as a main point of contact for any issues that may emerge in the relationship between mentee and mentor or other program issues and, where appropriate, address any concerns, or escalate to other resources as needed.
- Lead, plan and facilitate Mentoring Program launch and close events and other program event/workshops as required.
- Working with the Clinical Mentorship Lead and Director, Faculty Affairs, establish program review and tracking protocols to ensure programs continually operates as intended, meets expectations, ensures effective practices and standards, and delivers value.
- Compile logístical and program evaluation data and summarize for required reports to various internal and external partners and/or funding agencies.
- Draft and prepare correspondence, presentations and reports for committees, and other internal and external stakeholders and other external partners as required.
- Provide recommendations to the Director of Faculty Affairs and the Clinical Mentorship Lead based on the data regarding future program delivery.
- Working with the Communications Unit, prepare a marketing plan that may include bulletins, updates and advertisements including regularly updating the Faculty Affairs website content to include upcoming programming and events.
- Assist in drafting persuasive written communication for the purpose of recruitment and recognition of faculty involved in the program.
- Work with the Instructional Designer, CEPD to update program materials on an annual cycle and ensure all program materials are uploaded to and manage content on the CEPD Learning Management System (Moodle)
- Assist with monitoring Mentorship program budgets and prepare budget reports, as required.
- Update and maintain participant databases.
- Perform other duties as assigned.

**Qualifications**:
**Education**:

- A university Degree in a related field (i.e. Social Sciences discipline) from a recognized university with Canadian accreditation or an equivalent combination of education and experience is required.

**Knowledge, Skills and Abilities**:

- A minimum of three (3) years of relevant experience is required.
- Experience in the medical or post-secondary education environment is an asset
- Experience with project management
