Job Summary:
The Pension Operations team, within Operations Support, is primarily responsible for the delivery of the Cyclical member events. The team manages the pension payroll for HOOPP members; Annual Statements and Tax slips along with other regulatory and legislative member communications. An additional branch of the team manages includes investigations of missing members, overpayment recovery and prevention as it relates to deceased members. The Planning Lead role will support the overall mandate of delivering on our pension promise in providing service delivery excellence that is timely and accurate as they create planning, collaborate with stakeholders, and execute these team project plans to support delivering on the team's deliverables.
The Planning lead, Pension Operations is responsible for delivering business accountabilities in a complex and dynamic environment. Working in conjunction with all levels of business stakeholders, external business partners, Pension Accounting, Finance, Member Services, Actuarial Services, Business Intelligence, Data and Calculations, Policy and HOOPP IT, the incumbent will coordinate business resources and collaborate with IT/vendor resources during all phases of the Cyclical events life cycle. The Planning lead will ensure that all business activities are planned, scheduled, resourced, monitored while managing risk.- Gather necessary input, plan and create teamwork plans, obtain approvals on plans and coordinate with stakeholders across the organization, included external vendors to facilitate the decision-making process, and generate metrics to be measured before, during and after project delivery- Work with business stakeholders, internal IT teams and vendors where necessary, to plan, manage and deliver Pension Operations deliverables for the Plan Operations division- While handling multiple priorities, develop, maintain, and integrate detailed project plans, schedules, and status reporting- Ensure project deadlines are met, providing frequent project status, issues and reporting to various levels and audiences of Pension Operations and Plan Operations- Conduct project risk reviews, communicating with relevant staff, to identify, mitigate and resolve project risks and issues- Demonstrate excellent skills in team leadership and conflict management- Understand and communicate how project changes impact members, employers and internal HOOPP staff, and manage these impacts by collaborating with business stakeholders and other divisions where requiredWhat you will do:
- Responsible for overseeing the Payroll team on execution of pension payroll and troubling shooting when issues arise- Responsible for ensuring payroll is current and is current with Legislative changes related to pension payroll and Tax related implications- Responsible for timely and accurate Monthly and Weekly Payroll, cheque and EFT approvals- Responsible for coordination with Finance and Client Services to schedule payrolls, design and document reconciliation and control processes- Responsible for oversight of COLA-related work and validation of the transfer into member’s pensions records for payment- Responsible for T4a and other tax slip production work- Responsible for report design to support payroll functions for added analytics- Responsible for ensuring the Client Services is kept informed on changes or other items as they impact members- Responsible for monitoring the effectiveness and productivity of the team and providing feedback; implementing corrective action as required- Collaborate with other Leads to ensure teams are coordinated and consistent in meeting all team objectives (i.e. coordinate corrections with Pens
