Administrative Assistant I

Reporting to the Manager, Land Management Services, the Administrative Assistant I is responsible for providing administrative assistance to support the Manager in ensuring the efficient, day-to-day operations of the Land Management Services branch. This position is actively involved in assisting the Manager and Land Management Services staff in meeting departmental and corporate goals.
**Responsibilities**:
- Administrative support to Manager and Land Management Services branch
- Manage Outlook calendar for Manager by accepting meeting requests, ensuring there are no conflicts
- Organize meetings; schedule, attend, transcribe minutes, prepare presentations, confirm catering
- Assist staff with training and development including registrations and booking travel
- Process resident inquiries utilizing County Connect, ensuring responses are provided within established timelines
- Prepare and process Caveats, discharges for Land Titles submissions, and prepare the document registration requests (DRR’s) for any other required registrations
- Ensure all registered documents are filed in Sharepoint and create their respective real estates jobs in Winchester
- Regularly preform title searches in SPIN for departments and weekly lien checks
- Oracle Requisitioner for the Branch to create Purchase Orders as required and ensure they are received on time and closed
- Process documentation specific to branch, i.e. internal and external correspondence, agreements, reports, presentations, forms and advertisements
- Support the circulation (referral) process i.e. circulate to relevant stakeholders, accurate information provided, responses received on time
- Initiate Council reports and Issue Briefs using the appropriate report templates
- Records management; first line of contact for managing corporate records, agreements and contracts (electronic and hard copy)
- Cross-trained to provide coverage to Administrative Assistant I, Land Development Planning and Administrative Assistant II, Director’s Assistant during scheduled and unscheduled absences
- Provide coverage for the Information / Customer Service Representative on an as-required basis
**Qualifications and Skills**
- Minimum high school diploma plus five-years related experience
- Certificate or Diploma in Office Administration or Business Administration is preferred
- High proficiency using Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook)
- Ability to learn and adapt to County specific technology, i.e. Sharepoint, Winchester (POSSE), eScribe, County Connect, Oracle and ActiveWeb
- Experience participating in meetings and preparing agendas and drafting minutes (or meeting notes)
- Excellent organization, time management and customer service skills
- Excellent written and oral communication skills
- Ability to be flexible and adaptable with constantly changing workloads and deadlines
- Respect confidentiality and deal with discretely and professionally
- Detail oriented
