**Key Responsibilities**:
**Administrative Support**:

- Spearhead streamlined standard operating procedures and administrative processes.
- Proactively prompt and flag priorities, ensuring nothing falls through the cracks.
- Facilitate meetings, including taking minutes, preparing agendas, and tracking action items.
- Maintain a well-organized environment to enable success with high attention to detail.
- Deliver executive administrative tasks to ensure efficient and effective workflow, communications, and operations.
- Provide support to the call center and cross-train in other departments as needed.
- Ensure strict confidentiality and the utmost discretion in handling sensitive information and communicating with all stakeholders.

**Executive & Leadership Support**:

- Provide high-level operational support to the COO, including project management, proposal writing, and leadership coordination, acting as a key backup for executive functions.

**Client Relations & Problem Solving**:

- Build and maintain strong client relationships by being the go-to person for inquiries and concerns.
- Navigate challenging situations tactfully and professionally, turning potential conflicts into positive outcomes.
- Anticipate client needs and deliver solutions before they ask, ensuring a seamless experience.

**Special Projects & Proposal Writing Support**:

- Actively participate in proposal writing in response to RFPs, collaborating with cross-functional teams to gather necessary information.
- Take on light project management responsibilities in support of the COO.
- Assist in the coordination and execution of unique projects and initiatives as assigned by the COO.
- Conduct research and prepare reports to inform decision-making.
- A passion for business and a hunger to learn and grow.
- Ability to think ahead, anticipate needs, and act proactively.
- Strong problem-solving skills and the ability to handle difficult situations with grace.
- Sales interest or experience is a plus.
- A driven, detail-oriented individual who takes pride in their work and enjoys being part of a dynamic team.
- Can maintain a realistic balance among multiple priorities while working in a high-volume & fast-paced environment with tight deadlines.
- Has high attention to detail and extremely high standards of literacy.
- Is a master relationship builder who can use high levels of discretion.
- Highly organized and passionate about process improvement.
- Demonstrates a trustful, positive, respectful, and resourceful mindset.
- Fluent in English with excellent written and verbal communication skills.
- Displays a positive, cheerful, and helpful attitude.

**Qualifications**:

- Proven experience in an administrative / Client relations or similar role
- Post-secondary education in business.
- Must be able to work in a fast-paced environment and well under pressure.
- Experience in project coordination and proposal writing would be an asset.
- Strong proficiency in using MS Office Suite, Asana, Office365 and other technology.

**Work Conditions**:
