- Must be Computer Literate

**Overview**

The Administration Supervisor reports to the Manager Administration, and plays a key role in managing the day to day tasks of the following departments: Credit & Collections, OS&D, Call taking, Imaging/Reception.

Other duties may be assigned as necessary or as this position evolves.

**Main Duties**

**Collections**:
Assist Manager Administration that established corporate quota is met on a monthly basis

Timely follows up are done by collector to ensure all accounts are respecting payment terms
- Provide back-up support to the manager/os&d clerk during absences

**OS&D**:
Assist manager with the review and control of all departments ensuring day-to-day service requests are handled within acceptable established protocols

Assist in providing coaching and on the job training to ensure that employees are capable of meeting individual performance goals and are crossed trained to
maximize their contribution to the department
- Handle escalated issues from O.S&D clerk and customers
- Provide back-up support to the manager/os&d clerk during absences
- Participate in quality monitoring of teams service requests and telephone calls &
identify opportunities to improve
- Liaise with internal departments such as dispatch, operations and OS&D to
investigate & resolve operational and client issues

**Reception**:

- Ensure back-up to receptionist duties as required
- Ensure accessorial charges are handled promptly

**Call taking**:
Assist manager with the review and control of all departments ensuring
day-to-day service requests are handled within acceptable established protocols
- Assist in providing coaching and on the job training to ensure that employees
are capable of meeting individual performance goals and are crossed trained to
maximize their contribution to the department
- Provide back-up support to the call taking department during absences
- Participate in quality monitoring of teams service requests and telephone
calls & identify opportunities to improve

**Imaging/Billing**:
Ensure imaging is up to date

**KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED**:
Minimum of 3 years experience of transportation with various intermodal knowledge, Less Than Truckload and Full Load, via road and rail is preferred
- Administration experience required
- Intermediate to advanced working knowledge of Microsoft Excel and Access is
required
- Excellent communication and interpersonal skills are essential
- Must be bilingual
- Well organized and strong attention to detail is required
- Must be able to work in a fast paced environment and be flexible to changing priorities
- Must be able to work independently as well as part of a team
- Willingness to assist others and go the extra mile
- College degree in business. Transportation, Logistics or related field or a combination of education and experience from which comparable knowledge and abilities can be acquired is necessary

**MINIMUM JOB REQUIREMENTS**:

- Minimum of 3 years of transportation modes knowledge: Full Load, Less Than
Truckload via road and rail/intermodal is preferred
