Receptionist / HR Assistant

**Position Overview**
Reporting to RGA International Corporation's Senior Human Resources Business Partner, the **Receptionist/HR Assistant** fulfills their administrative tasks and daily activities as well as supporting the HR team.
**Responsibilities**
- As the receptionist for the RGA International Office, greet customers, couriers and direct them as necessary, answer and direct calls.
- Support and participate in timesheet management, collaborate in the logistics of different departmental and corporate events.
- Act as a support and establish contacts with building personnel and various stakeholders to address the needs of the office.
- Primary contact person for processing all invoices while closely working with the finance team to resolve payment and invoice issues. This involves coding expenses in a timely manner and submitting expense reports.
- Sorting and distribution of couriers, support colleagues who do not have administrative staff with expense submissions and travel logistics.
- Prepare correspondence, reports, presentations, and other documents for the human resources team.
- Support and conduct necessary follow-ups related to recruitment and employee orientation. Assist in new hire pre-boarding formalities.
- Maintain HR logs such as year
- end tax forms, office calendar, attendance reports. Work with IT and HR Coordinator in couriering and retrieving electronic equipment for new and exiting employees respectively.
- Assist in office communication and event support such as quarterly town halls and other gatherings, client visits etc.,
- Assist the HR Coordinator and Sr HR Business Partner by providing Workday system support such as raising new hire requests, clearing routine notifications pertaining to employees and extracting reports.
- Answering basic queries from employees related to HR and Facilities. At times may also have to act as a liaison between the organization and external service providers and vendors.
- Participate in various committees and work with relevant teams in case of office emergencies and site crises.
- Perform other duties as assigned.
**Requirements** Education & Experience**
**Required**:
- College Diploma
- Minimum 3 years in a similar position
**Preferred**:
- Bachelor’s degree in HR or a related field
- 3+ years of experience in Human Resources
- Experience with HRIS (Workday)
- Experience in insurance/reinsurance industry
**Skills & Abilities**
**Required**:
- Excellent PC skills and proficiency with MS Office Suite
- Intermediate oral and written communications skills demonstrating ability to share and impart knowledge
- Ability to quickly adapt to new methods and work under tight deadlines
- Ability to work well within a team environment and participate in department/team projects
- Excellent organizational skills and respect for deadlines
- Strong observational skills and detail oriented
- Intermediate interpersonal skills, demonstrating the ability to work effectively with internal departments and staff at all levels and other contacts
- Ability to maintain a high level of confidentiality
- Ability to demonstrate a positive and professional image
- Ability to be flexible when needed, take initiative, and demonstrate accountability
- Punctuality
**Preferred**:
- Advanced Excel skills
