The Invoicing Specialist is responsible for coordinating and processing invoices, ensuring accuracy and efficiency in procedures. This position reports to the Centralized Invoicing Supervisor.
- Accurately prepare and process invoices. Review and verify invoice details, including quantities, prices, and terms, to ensure accuracy and compliance with company policies. Ensure all necessary information is included and correct.
- Investigate and resolve any discrepancies or issues related to invoices, working closely with other departments and external vendors as needed.
- Respond to customer inquiries regarding invoices and billing, providing excellent customer service and resolving issues promptly.
- Collaborate with various departments to gather and verify billing information, ensuring timely and accurate invoicing.
- Create and analyze invoicing reports to identify trends, discrepancies, and areas for improvement.
- Provide support to the Centralized Invoicing Supervisor with invoicing-related inquiries, tasks, and projects as needed.
- Keep accurate and organized records of all invoices, payments, and related documentation.
- Handle various ad-hoc tasks and special projects as assigned.
**KNOW HOW & EXPERIENCE**
- Proven experience in an administrative role, preferably in a similar industry. Invoicing experience preferred.
- Excellent communication and interpersonal skills.
- Strong attention to detail and organizational skills.
- Proficiency in invoicing software and Microsoft Office Suite.
- Able to work independently and as part of a team.
