Program & Outreach Administrator (2023 - 0144)

The Program and Outreach Administrator supports the day-to-day administration and coordination of the various projects and activities that ICTC undertakes. This role requires initiative with the ability to conduct outbound and inbound communication in support of organizational goals.
**Outreach**
- Helps create and implement an outreach plan to increase the program uptake of employers and eligible newcomers to Canada.
- Engages Immigrant Service Providing Organizations (SPOs) to refer clients.
- Handles outreach efforts to raise awareness, inform and engage critical stakeholders to expand knowledge of ICTC and access to ICTC’s programs including Wil Digital.
- Identify the needs of employers, industry associations, and referral SPOs to customize the best outreach and engagement efforts.
- Organizes and or attends promotional events and meetings, delivers webinars, staffs booths, etc.
- Distributes communications and marketing materials targeted at industry associations, employers and newcomers and SPOs.
- Assists in the creation of content for promotional materials.
- Works with new and existing employers to support their recruitment practices and provide opportunities for participants.
- Assists with the collection of data for the program evaluation plan.
- Conducts follow-up with participating employers and clients to ensure good customer service, continuous improvement, employers continue to participate, and as part of evaluation and funder reporting.
- Informs management of progress, issues and opportunities in a timely manner.
- Makes recommendations as to how to improve the program, address any issues and advantage opportunities.
- Coordinates with program staff to ensure proper dissemination of accurate information to clients.
- Tracks, updates information on a database(s) of relevant contacts, follow-ups and activities, ensuring the necessary information is recorded.
- Works with the project team to ensure all relevant forms and documents are completed in accordance with contractual and external funding requirements.
- Participates in regular virtual team meetings.
- Such other duties as assigned.
**Program Administration**
- Responds to telephone, written or face-to-face requests for information.
- Adds, tracks, updates, maintains database of relevant contacts, follow-ups and activities, ensuring the necessary information is recorded.
- Schedules and participates in follow-ups and evaluation; coordinates survey and collates results for reporting.
- Refers employers and participants to job marching site and helps with shortlisting.
- Liaises with employers and participants to ensure quality of work experience.
- Works with participants to identify career progression.
**Essential Knowledge, Experience & Competencies**
- 1 year of relevant work experience.
- Knowledge of principles and methods for promoting and selling products or services.
- Ability to develop and execute a sales & marketing strategy and tactics.
- Knowledge of business and management principles.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
- Experience using social media (Twitter, Instagram, Facebook, and LinkedIn) as marketing and outreach tools.
- Experience in successfully managing and delivering projects including managing multiple priorities, partnerships, and ambitious timelines in a fast-paced environment.
- Proficient with Microsoft 0365.
- Commitment to diversity and inclusion and understanding of the issues and challenges faced by diverse groups.
- Ability to maintain professionalism and respond effectively to sensitive inquiries or complaints.
- Excellent written and oral communication skills to present ICTC in a professional manner, interface and communicate effectively with senior and diverse audiences, and prepare and proofread communications.
- Organized self-starter with ability to work through ambiguity.
- High attention to detail, with strong administration, documentation and reporting skills.
- Strong interpersonal skills and the ability to work effectively and collaboratively under pressure with diverse personalities and stakeholders with various mandates.
- Proven track record of building positive relationships and working effectively with a broad range of individuals and organizations in order to further organization objectives.
