The Partnerships + Events Coordinator role involves providing support to the Partnerships + Events team in the planning and execution of the Foundation’s signature events (including the Glow Gala and Illuminations Luncheon). This role will also provide support for donor relations events. The Partnerships + Events Coordinator will help create and maintain partnerships between the business community and our Foundation as we work to fund women’s health initiatives in BC and nationally. This position reports to the Manager, Partnerships + Events.
**SPECIFIC ACCOUNTABILIES**
**Event Coordination**
- Support the team in the successful execution of events, while ensuring a meaningful event experience for the guests.
- Proactively sourcing suppliers, materials, event décor, entertainment, and unique event elements with cost saving opportunities in mind as per the Manager’s design plan.
- Works with the Manager to create auction item procurement and delivery plans and strategies for fundraisers, then takes ownership to execute with, Event Committee Members, and Foundation Staff.
- Organizes volunteer and staff recruitment, scheduling, on-site work and facilitates orientation for signature events.
- Works collaboratively with event committees; prepares agendas and meeting notes, tracks committee solicitation efforts, coordinates debrief and celebration meeting, maintains calendar of committee member touchpoints throughout the year
**Marketing + Communications**
- Works with internal Marketing Department to develop and deliver event collateral includes signage, programs, PowerPoint presentations etc.
- Verbal and written communication with event committee members, suppliers, stakeholders, volunteers and staff as needed.
- Writes compelling, concise, and complete descriptions for auction items.
**Corporate + Small Business Partnership Relationships Coordination**
- Help cultivate, steward and maintain existing corporate partners through maintenance of partnerships stewardship calendar, and database of partnership deliverables to ensure all deliverables are met and within optimal timeframe.
- Research and help identify potential corporate partnerships for the Foundation, and key contact information.
- Researches and identifies prospective cash and in-kind auction donors for events, compose proposals for donations and follow-up.
**Records and Reporting**
- Updates Raiser’s Edge with proposals, actions, and relationship updates.
- Creates new event/campaign ID’s in Raisers Edge.
- Tracks event payments to ensure the funds are received.
- Tracks sponsor and attendee registration.
- Maintains accurate database and written records and provides clear reporting.
- Provides weekly report of activities and projects for which you have ownership.
- Coordinates post-event follow-up reports and tracking data.
**Financial Responsibilities**
- Tracks various event related expenditures.
- Works with internal team members to manage sponsor and donor payments.
- Contributes to event revenue generation through the solicitation of in kind gifts.
**Education + Professional Development**
- Take part in ongoing education on fundraising and donor relations.
- Actively takes part and seeks continued education in Reconciliation, Equity, Diversity + Inclusion (REDI), participate in inclusivity initiatives, demonstrates respect for differences through words and actions; seeks different perspectives when creating solutions.
- Self-directed education to know top of trends in events, what people are buying, popular activities, and new event supplies and vendors.
**QUALIFICATIONS**
**Education/Experience**
- Marketing/Communications/Professional Sales degree or diploma\completion of fundraising courses
- At least 3 years’ experience in event organization in a fundraising environment.
- Passion for women’s health is essential.
