Job Summary

Reporting to the Director of the Dan School of Drama and Music (“School”) and working closely with the Academic Program Manager and the Production Coordinator, the Department Manager is accountable for the effective management, planning and coordination of the overall administrative operation of the School, and for assisting the Director in long term strategic and operational planning.

The Department Manager leads the administrative and operations services of the School, supporting all teaching and research activities, in both the graduate and undergraduate programs. Primary activities include financial planning, budgeting, forecasting, human resources management, procurement, facilities management, health and safety management, communications, marketing and coordination of a broad scope of School activities and events. The Department Manager serves as a liaison with other administrative units of the University to ensure School operational requirements are met.

**Job Description**:

**KEY RESPONSIBILITIES**:
**School Communications**
- Provide leadership in the area of information management and communication flow, ensuring the strategic direction of all aspects of administrative structure is aligned across all units in the School. Participate in the planning, development, and production of internet and hard publications and graphic materials to meet the School’s internal and external communication and marketing needs; manage and develop website content.
- Act as a resource person, liaison and communicator.

**Human Resource Management**
- Liaise with the Human Resources Department to provide guidance and advice to the Director on employment standards, human resources procedures and requirements, union agreements, professional development opportunities and University policies. Work with the Director to ensure compliance with all labour agreements and policies across School functions.
- Participate in the ongoing management of an effective human resources management plan, identifying opportunities for improvement and making recommendations to the Director based on analysis and research. Lead, or assist with, the development of standardized processes, guides, manuals and resources for the School.
- Manage, organize and maintain confidential records, including School staff files, ensuring information is provided to University central files.
- Plan, prioritize and manage the work of employees, providing strategic and tactical advice, guidance and coaching. Identify the need for staff resources, participate on staffing committees, and make effective recommendations regarding employee selection.
- Manage performance by establishing performance standards, reviewing and evaluating performance and conducting formal performance reviews on an ongoing basis.
- Assess staff training and development needs, and ensure that employees receive training required to improve and sustain successful performance.
- Investigate, address and resolve employee/labour relations issues, including disciplinary matters. Make decisions or effective recommendations on matters involving possible discipline, discharge and probationary termination.

**Operations & Facilities Management**
- Manage the complex operation of the School through assessment, development and/or modification of policies and procedures to streamline processes; this involves planning, coordinating and monitoring all aspects of operations and progress in order to increase efficiency and effectiveness, identify and recommend improvements, and manage or assist with the implementation of approved changes.
- Establish and exemplify a standard of service for the School, adhering to the vision and mission of the School and commitment to staff.
- Serve as an initial point of contact for the Director and coordinate required action or response as appropriate.
- Provide direct faculty consultations with respect to policy development, space issues, staffing issues and students.
- Identify issues in the School through analysis cause and effect. Consistently monitor and evaluate all aspects of administrative support within the School, in order to increase efficiency and effectiveness.

- Provide support and coordination for ancillary contracted services, non-credit courses and conferences.
