Accounts Receivable Administrator

**SUMMARY OF POSITION** Under the direction of the Manager of Finance, the Accounts Receivable Administrator is responsible for providing support to the Finance team and the Manager of Finance in accordance with Carefor’s financial activities, policies and procedures. The Accounts Receivable Administrator will be responsible to issue monthly invoices and statements, record payments and ensure the integrity of Carefor’s financial records, follow up on amounts owing, and respond to client inquiries. **KEY RESPONSIBILITIES** - Issues monthly invoices and/or statements. - Account collections and follow up on overdue balances. - Performs accurate data entry of detailed information into the financial and client information management systems. - Receives, reconciles and records incoming payments with invoices, including cash, cheque, e-payments and debit/credit transactions. - Prepares weekly deposits. - Reconciles weekly deposits in the Senior Support Centres and satellite office, ensures that the information is accurately captured in the financial and client information management systems. - Responds to client inquiries, resolves invoice questions and/or account inquiries. - Investigates and resolves account discrepancies or misapplied payments. - Reconciles monthly accounts receivable aged report to the general ledger, investigates any discrepancies. - Assists with monthly bank reconciliations, ensures that all deposits are posted to the subledger. - Assists in maintaining Records Retention system. **Qualifications** - Minimum 2 of experience in a related position - 2 year college diploma in accounting, finance, or a similar field, or an acceptable combination of education and experience - Excellent interpersonal and communication skills - Bilingualism (English/French) mandatory - Excellent attention to detail - Excellent organizational and time management skills, with a proven ability to manage competing demands - Experience using with Microsoft Office Suite, specifically Excel, Outlook and Word - Ability to work in a team environment keeping others informed and anticipating needs, while maintaining willingness to contribute and help others - Ability to work independently and with mínimal direction - Good problem-solving and decision-making skills **Qualifications considered an asset** - Experience in health care and not-for-profit sector - Experience with Great Plains and/or CIMS **Competencies** - Self-aware, innovative, and resourceful, with the ability to deal with issues and tasks proactively and simultaneously, with a calm demeanour and a customer centric approach. - Ability to be flexible, encourage and enable change. - Ability to proactively provide effective, timely solutions. - Good organizational, time management, and prioritizing skills. - Exhibits ethical standards in personal and professional life. - Ability to work effectively with stakeholders to ensure data and information requirements are met to support business decisions. **Problem Solving** Problem-solving skills are required to recommend solutions to issues and challenges relating to process issues and data integrity. Ability to assess the severity of a problem to determine the risk and impact to the organization, relying on documentation, procedures and previous knowledge and expertise to work with others to resolve issues. **Decision Making/Independence of Action** Makes recommendations for continuous improvement relating to Carefor’s overall objectives, policy, and procedures. Ability to exercise independent judgment. Decisions may require review or escalation when costs, potential liability, reputational risk and/or an impact on objectives or policies are involved. Direction is generally received for outliers to organization’s policies, objectives, and values. **Managing and Leading** No direct reports. **Physical Effort** Physical effort required is low intensity, < 2 hours per day **Mental Effort** Mental effort required is moderate intensity in an office environment, 2-4 hours per day, or high intensity for less than 2 hours per day. There may be some pressure due to meeting tight deadlines.
