Job DescriptionUnder the supervision of the Office Manager the Data Administrator is responsible for all Client data pertaining to the WorkBC Employment Service Centre billing and information management systems. This role requires attention to detail and exemplary data entry skills. The Data Administrator role offers additional assistance to the Office Administrator/Office Manager/and Senior Operations Manager.

**What you’ll be doing**:

- Entry of Client forms, financial information, internal documents, and other related items into our database
- Required to immediately notify the appropriate points of contact of any system or data entry errors
- Maintain office billing system in a high volume and fast paced environment
- Reviewing Case Manager Trackers on a daily basis to synchronize with ICM billing
- Providing feedback to Office Manager regarding any discrepancies
- Providing recommendations for any recognized efficiencies in the data entry and billing system
- Summarize monthly financial reports and complete reconciliations of client supports
- Support with Sustainment follow-up/ documentation when necessary
- Reception and resource room coverage as needed, which includes contact with potential Clients, on the phone and in-person, providing information on programs and referrals to other agencies and community resources, as well as assisting clients with Online Employment Services registration
- Office support to staff team and Clients such as booking appointments, data entry, photocopying, faxing, preparation of minutes, answering phone inquiries, correspondence, purchasing supplies and petty cash
- Supporting Office Administrator/Assistant with Client intakes as required
- Work within all government/Ministry compliance regulations
- Stay current with labour market trends, employment issues, community resources, job training, and employment opportunities
- Adhere to onsite Health and Safety Procedures
- Represent the YWCA Metro Vancouver and/or WorkBC to community partners and other organizations as requested. Act as a champion of the program, promoting our services throughout the community
- Perform other duties as assigned

**What you’ll need**:

- Relevant education and/or combination of relevant experience and certifications
- Previous administrative and data entry experience
- Proven ability to analyze detailed documents to take or recommend appropriate action
- Excellent alpha-numeric data entry minimum 6,000 (keystrokes per hour) - 95% accuracy
- Intermediate Excel, Word, Outlook and SharePoint
- Excellent customer service skills and comfortable working on the front-line of a busy employment centre, working with a range of clients including homeless clients, clients with mental health concerns, and clients with disabilities
- Strong communication and interpersonal skills are required to build effective relationships internally and externally
- Excellent written and verbal skills
- Team player and able to work independently
- High attention to detail / organized and ability to multi-task
- Adept to ongoing change and ability to be flexible
- Experience with Oracle/Siebel data entry is preferred
- Knowledge of WorkBC ICM is an asset
- A valid criminal record check (including working with vulnerable populations) is required
- Flexibility to work/travel to other tri-cities WorkBC centres
