**Job description**:
The Alberta New Home Warranty Program Group of Companies (ANHWP Group) is Alberta’s most experienced and trusted new home warranty provider and educator for homebuilders. As Alberta’s leader in new home warranty products and services for 50 years, we continue to raise the bar to meet the needs of homeowners and our Builder Members.
This position resides with Dweller Home Services. Dweller is the newest company from Alberta New Home Warranty Program (ANHWP) and provides various inspection and walkthrough services for Home Builders, Property Managers and soon to be home buyers (our Clients).
We're looking for a highly organized and motivated **Operations Coordinator** to join our growing team. This is a hands-on role that sits at the heart of our daily operations and reports directly to the General Manager. You’ll play a key role in scheduling, coordinating field operations, and supporting our business development efforts.

**Responsibilities**:
The primary responsibilities of the Operations Coordinator are:
- Coordinate and manage inspection and walkthrough schedules across multiple clients and locations
- Support day-to-day operational tasks, ensuring efficiency and excellent service delivery
- Work closely with the General Manager to refine processes and contribute to operational planning
- Assist with business development and sales initiatives, including client communication and tracking opportunities
- Help shape internal tools and systems to support growth and scale
**Inspection Coordination and Software**:
- Become proficient with our home inspection software (Spectora) to manage all aspects of home inspection details (scheduling, tracking, reporting, etc)
- Engage with Clients to coordinate specific booking processes
- Assign inspections to appropriate Home Inspectors
- Maintain organized communication to keep all Clients and Inspectors informed of updates
**Customer Service**:
- Attend new client prospect meetings and assist with meeting notes and follow up with clients
- Onboard new Clients by attending business and sales team meetings, and providing marketing materials
**Reporting**:
- Create, update and maintain spreadsheets for additional reporting and tracking
- Reviewing financial reports and run software-generated reports
- Proofread home inspection reports prior to distribution
- Create and update templates in the inspection software
**General Administration**:
- Prepare presentations for Clients
- Coordinate office support tasks, including ordering supplies, vendor management, processing mail and organizing courier deliveries
- Provide administrative support such as booking meetings, preparing agendas, making travel arrangements and submitting credit card statements
- Document scanning, filing and management
**Work location**:
Hybrid work - required to be in the Calgary office 2-3 days a week.
**Requirements**:
**Education**:
- Minimum Education: High school diploma or equivalent.
- Preferred Education/Field of Study: Associate or diploma in Administration, Business or related field
**Experience**:
- 2-3 years of administrative and/or coordination support experience is required
**Knowledge**:
- Must be proficient in Microsoft Office Suite, including Excel, Word, and Outlook
- Familiarity with AI in the workplace
- Previous experience in operations, scheduling, or coordination roles is an asset
**Human skills**:
- Strong organizational and multitasking skills
- A proactive, entrepreneurial mindset with a passion for building systems and solving problems
- Comfortable making decisions and working independently in a fast-paced environment
- Strong organizational and multitasking skills, excellent written and verbal communication skills
- Attention to detail and ability to manage data accurately
- Ability to learn new technologies and to adapt to different software (including Spectora)
