**Working Arrangement**

Hybrid

Working closely with the Assistant Corporate Secretary and the Chief Counsel, Public Company this role will provide day-to-day support to the Board Governance Team.

**What You’ll Do**:

- Supports the Assistant Corporate Secretary in organizing board and committee meeting logistics, including planning, preparation, and implementation of all elements of meetings, both in-person and virtual (e.g., distribution of meeting materials managing calendar invitations, booking of rooms, developing seating plans and monitoring attendance, etc.)
- Responsible for maintaining board and committee meeting checklist and other department processes, ensuring all deadlines are met and considering process improvements where possible.
- Responsible for board travel arrangements including booking transportation and hotels.
- Support directors with administrative matters during on-site meetings.
- Calendar management for the Office of the Corporate Secretary.
- General and administrative support including routine photocopying, filing, mail sorting, preparation of regular correspondence, memos, etc.
- Manage department invoices, billing, and payment.
- Assist with the planning and preparation for Manulife’s Annual Meeting of shareholders and policyholders.

**What You’ll Need**:

- Minimum of 5-years’ administrative experience in a large public company or similar organization.
- Strong interpersonal skills with a high comfort level in dealing with individuals at all levels.
- Highly motivated, organized, detail-oriented and can effectively prioritize and manage competing matters.
- Ability to exercise discretion and professionalism with highly sensitive information.
- Ability to work flexible hours during weeks in which board and committee meetings are held.
- Advanced skills in Microsoft Office, Adobe, Excel, and SharePoint.
