**Summary of Position**
The Academic Scheduling & Data Co-ordinator is a member of the Senior School Office Team and contributes to the efficient day-to-day operations of that office that includes, scheduling/room bookings, data management and event planning. The Academic Scheduling & Data Co-ordinator provides exemplary administrative and customer support in a busy, nurturing environment and is able to easily switch from working with basic office routines to more complex technical/data responsibilities over the course of the day. This position provides administrative and data-related support to the members of the Leadership Team, in particular, the Vice Principal, Student Success. The Academic Scheduling & Data Co-ordinator, works in a procedural, consensus-building manner with faculty, students, parents, and staff in keeping with the school’s vision, mission, values and strategic plan.
**Specific Accountabilities**
Scheduling:
- Updates and maintains the room booking system and school-wide calendars working closely with the Vice Principal, Student Success to ensure consistency and to interactively work with stakeholders to proactively solve/prevent conflicts
- Assists Vice Principal, Student Success, utilizing technical and analytical methods, in the student and teacher timetable/schedule building processes
- Provides administrative support such as electronic calendar maintenance including booking meetings, and preparing communications for members of the Leadership Team
Data Management:
- Report card setup by checking for and managing/collecting missing data from teachers, providing technical support to teachers e.g. navigating the online process, printing and publishing the reports for parents and students
- Creates a variety of accurate and timely reports by gathering and organizing data originating from multiple sources
- Centralizes data storage to be accessible for all divisions
Event Planning & General Duties:
- Collaborates on event planning with others across the school such as parent receptions
- Creates and edits manuals, reports and other project-based assignments
- Performs routine administrative functions such as data entry, scheduling, intranet postings, mailings, shredding, filing, maintaining electronic and hard copy files
- Covers main reception as part of a rotation
- Organizes supply teachers collaboratively with other divisions
- Participates in the academic administration coverage schedule
- Embeds diversity, equity, inclusion, and belonging values into all activities
**Skills, Experience and Attributes**
- Experience in a fast-paced, multi-faceted office
- Event Planning experience considered an asset
- Advanced expertise in Excel and Google Sheets including using advanced formulas, pivot tables, and filters
- Demonstrated expertise in extracting, manipulating and updating data from multiple database systems - knowledge of Blackbaud is an asset
- Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy
- Adept at writing queries, reports and presenting findings using software such as crystal reports
- Experience building school timetables/schedules is an asset
- Culturally competent with a positive attitude toward cultural uniqueness and a readiness to accept and respect others
