**LEGAL BILLING COORDINATOR**

Fair Legal is a growing litigation boutique firm in Calgary’s Beltline district. We represent clients seeking justice in messy and complex civil, family and criminal litigation.

As a Legal Billing Coordinator at Fair Legal, you'll play a vital role in ensuring the smooth and efficient operation of our billing systems, directly supporting our lawyers and staff as they advocate for clients facing complex, life-changing legal challenges. Your work will be crucial in maintaining our firm’s commitment to delivering compassionate legal services in the pursuit of justice for our clients.

**Responsibilities / Task / Duties**
- Billing Management: Generate accurate and timely invoices for legal services rendered by our professional staff, ensuring adherence to various billing guidelines and formats.
- Client Interaction: Communicate with clients regarding their billing inquiries and resolve any disputes or discrepancies in invoices. Maintain positive client relations by ensuring transparency and efficiency in the billing process. Work with firm’s professional staff and clients to ensure that trust retainers are maintained at the level required for each client file.
- Payment Processing: Oversee the receipt of payments and manage accounts receivable. Follow up on outstanding invoices and manage collections processes if necessary.
- Trust Accounting: Prepare trust payment requisitions for approval by firm’s Responsible Lawyer. Ensure trust account entries are accurate, complete and up-to-date.
- Data Entry and Management: Collaborate with the firm’s professional staff to ensure that time entries comply with firm’s standards, clearly and accurately communicating to our clients the value of the services we provide. Enter/update time entries, expenses, and adjustments into our billing system. Maintain and update client and matter information as needed to ensure accuracy in billing records.
- Report Generation: Prepare billing reports and analysis for senior management, including unbilled time and disbursement reports, aged accounts receivable reports and profitability reports.
- Manage disbursement billing and payment. Ensure client disbursements are billed to clients and paid out to vendors promptly.
- Compliance and Coordination: Ensure compliance with both internal billing procedures, external client requirements and the Rules of the Law Society of Alberta. Coordinate with lawyers, paralegals, legal assistants and other staff to ensure that billing is handled smoothly and efficiently.

**Required Skills**:

- Attention to Detail: Strong detail orientation is crucial for accurately entering data, preparing bills, and managing complex billing requirements.
- Communication Skills: Effective communication is essential for interacting with clients, lawyers, and other staff to clarify billing details and resolve issues.
- Financial Acumen: Knowledge of basic accounting principles and understanding of financial reports to manage billing and invoicing effectively.
- Organizational Skills: Ability to manage multiple tasks and deadlines in a fast-paced environment. Prioritization and time management are key.
- Technical Proficiency: Familiarity with legal billing/case management software (such as LEAP Legal), accounting software (Quickbooks Online) and general office software (Microsoft Office, particularly Excel, Outlook and Word). Ability to adapt to new technology is important.
- Problem-solving Skills: Capability to address and resolve billing discrepancies and disputes. This involves analytical thinking to manage any challenges which arise during the billing process.
