**Job Title**: Group Medical Visit Coordinator (Remote or Hybrid)
**Reports To**: People and Clinical Services Lead
**Job Purpose**:
The Group Medical Visit Coordinator is responsible for overseeing all operations related to our virtual Group Medical Visit (GMV) services, including administrative and technical support during the sessions, scheduling, care logistics, record maintenance, and care coordination

At Changepain Medical & Allied Health Clinic, our interdisciplinary team, led by pain physicians, has developed innovative pain treatments that improve function by addressing the myofascial, nerve and cognitive disturbances of persistent pain not addressed by traditional rehabilitation approaches.

**Key Responsibilities**:1. Session Support**:
- Provide administrative support during GMV sessions for physicians and facilitators, including attendance tracking and assisting with billing as needed
- Be present 15 minutes before the class starts up until 15 minutes into the session to ensure smooth operations and sufficient support
**2. Technical Support**:
- Troubleshoot technical issues and provide Zoom support to patients, such as registration and signing in
**3. Scheduling and Patient Care Coordination**:
- Coordinate patient care within the clinic, including creating patient charts, scheduling appointments
- Maximize class attendance through efficient patient scheduling, accepting online requests, and utilizing waitlists effectively
- Provide navigation and advanced scheduling for patients to integrate Group Medical Visits with their layered care
**4. Administrative Support**:
- Oversee the Group Medical Visit schedule and coordinate with various team members to ensure proper communication of class changes and cancellations
- Work closely with the management team on class initiation, marketing, and promotional efforts
**5. General Support**:
- Maintain electronic medical records and ensure patient confidentiality.
- Undertake short-term and long-term projects based on skills, abilities, and clinic needs.
- Execute additional clinical and administrative tasks as required.
**Qualifications**:
- High school diploma or equivalent required; experience or certification in medical assistance or a related field preferred.
- Proven ability to work independently and effectively in a remove environment
- Proven ability to work collaboratively in a team environment, supporting colleagues and physicians to enhance patient care.
- Professional demeanor with good judgment, tact and diplomacy.
- Proficient in addressing patient inquiries with empathy and professionalism.
- Strong understanding of medical terminology for effective communication and documentation.
- Base knowledge of healthcare regulations. Demonstrated ability to maintain confidentiality and ensure patient privacy.
- Exceptional interpersonal skills and ability to work well in a high performing team.
- Experience with MSP, and third-party billing procedures, such as ICBC, WSBC, and others.
- Excellent computer skills with knowledge of Zoom, MS Office software, such as MS Outlook and Teams, and comfort with digital workspace. Experience with EMR is an asset (InputHealth in particular).
- Excellent keyboarding skills (including speed and accuracy) recommending a typing speed of 40 words per minute.
- Strong verbal and written communication skills.
- Adaptable and flexible to deal with changes, organized, able to manage multiple tasks in a dynamic clinical setting.
- Strong problem-solving skills to address scheduling and patient concerns.
**Job Type**:
Permanent Part Time + Perks
Variable and flexible hours, Monday-Saturday from 9:00am-8:00pm (depending on when the sessions take place)
Can be fully remote or hybrid
**Salary**:
$19.75-$21.75 per hour
