Finance - Finance Assistant

PURPOSE OF JOB
Reporting directly to the Supervisor of Accounts Payable and Inventory Control, The Finance Assistant is responsible for performing administrative, clerical and accounts payable related tasks through adherence to corporate policies and procedures in an efficient, timely, and accurate manner.
PRIMARY DUTIES AND RESPONSIBILITIES
- Main telephone system support
- Provide coverage to other departments such as Reception (mail sorting, intercompany mail etc.)
- Responsible for sorting mail, scanning, and photocopying
- Sorting, matching, and coding invoices and packing slips according to receiving and the supplier
- Comparing packing slips to invoices, checking for accuracy, and reviewing cost
- Entering invoices to accounts payable subledger
- Ensure invoices with quick payment discounts are processed on time
- Review supplier statements on a regular basis
- Investigate problem invoices/packing slips with suppliers and resolve vendor inquiries in a timely manner
- Filing and sending EFT remittances
- Posting supplier credits
- Update and maintain vendor databases
- Protects organization's value by keeping information confidential
- Other finance related tasks as assigned
PLANNING AND BUDGETING
- Accurate posting to GLs and processing of transactions
PHYSICAL DEMANDS / WORKING CONDITIONS
- Primarily working in office environment.
- Moderate mental effort required in day-to-day work. High intensity when workload increases due to high purchasing volume or major increase in shipping/pricing errors exists
- Physical: requires, on an average, 5.5 continual hours a day on the computer and occasional lifting 10-20 lbs.
RECOMMENDED QUALIFICATIONS
**Experience**:
- 2+ years' experience in Accounts Payable or Administrative role preferred
- Computer skills should include Excel and/or Basic Accounting
- Good communication skills
- Strong organizational skills
- A sense of urgency - identifying issues and following up to ensure a timely resolution
**Education**:
- College or equivalent certificate in business administration.
