At Honda Trading Canada, our unique approach and hands-on atmosphere give you the opportunity to learn through doing, ownership, responsibility, and autonomy. **Please note this position is to cover a Maternity Leave** **SCOPE OF POSITION**: This position will provide administrative assistance to department Account Representatives for both international and domestic logistics business. They will work directly with carriers and customers to ensure appropriate bookings and take structured actions to ensure on-time delivery into customer locations. This includes (but is not limited to) problem resolution regarding delivery issues and escalate to Account Representatives as appropriate for direction and support and prepare/support all administrative processes related to the logistics transactions in a timely manner. The role may involve periodic administrative support with the Customs department and other administrative assistance as required by the Supervisor and/or Manager. **PRINCIPAL FUNCTIONAL RESPONSIBILITIES** - **Administrative Processing** - Set up sales and purchase orders within system. Complete daily invoicing. Manage report weekly to ensure any accrued sales from prior month are billed within current month. Keep reporting current. Review Accounts Payable (AP) & Cost Reconciliation Reports and perform reconciliation activity to avoid aged AP. Review Accounts Receivable (AR) and action activity to ensure timely receipt of payment for all AR - **Month End**: - Ensure clean, accurate and timely reporting to ensure integrity of financial reporting. Monthly, prepare month end reports within the scheduled timeline, issue reports to team members (Account Reps & Supervisor) for appropriate level of analysis and SOX compliance. Weekly, conduct reconciliation of reports to ensure reports are mínimal at month end. Daily, complete customs spreadsheets daily, locating information as required to ensure efficient month-end closing. - **Compliance** - As the one point of contact for the logistics department, co-ordinate any required compliance activity such as but not limited to SOX, contract request forms **POSITION PROFILE AND QUALIFICATIONS** - Personal Computer skills using Microsoft Word, Excel, PowerPoint, and general database entry - Strong customer service experience - 2 years’ experience in logistics role - College Diploma in Administration and/or Logistics & Transportation - Strong interpersonal, analytical, reasoning, and persuasive skills - Ability to work independently and multitask - Strong eye for detail, ability to identify and resolve issues independently - Must be a team player - Ability to work under tight deadlines in a fast-paced environment **Honda Trading Canada Core Values** - Pursues customer knowledge and **Dreams **of what could be, seeks out challenges is unafraid of failure. - Provide **Joy** to our customers and work for a cause greater than oneself.
