**SUMMARY - **_Maintenance Support Coordinator_**
**_ Shift:_** Monday to Friday; 8:00 a.m. to 5:00 p.m.
The TransX Group of Companies has an exciting opportunity for a Maintenance Support Coordinator to join our team. Reporting to the Maintenance Support Director, the Maintenance Support Coordinator completes administrative and reporting activities by coordinating per the strategic direction established for system configuration, asset acquisition and management. This role will also cross-train to provide support and backup capability in warranty administration, system analytics, and other Maintenance Support functions as required and appropriate.
**KEY ACTIVITIES**
**Duties and responsibilities include, but are not limited to**:
- Address maintenance-related inquiries and correspondence within and outside the organization
- Attend regular team meetings, maintain records (maintenance documents, equipment documents, invoices, truck binders, etc.), and coordinate implementation of action plans
- Remove units off the fleet and update truck and driver binders accordingly
- Manage annual Alberta Motor Vehicle Industry Council (AMVIC) business renewal, California Air Resources Board (CARB) compliance, and similar updates and renewals
- Generate and maintain regular and ad hoc reports as needed to support internal and external customers and the ongoing development and administration of metrics to optimize lifecycle management, asset cost per mile (CPM), operating ratio (OR), and asset sales stream
- Manage error traps and work with stakeholders to correct errors as needed
- Order equipment decals and office supplies, and process invoices
- Manage purchase receipts and invoices, reconcile statements, and submit to Payables / Finance team for processing
- Run warranty daily reports, administer shop follow-ups and parts returns, and create claims
- Support the development of Standard Operating Procedures (SOP) and similar documents to guide and standardize shop activities
- Continually cross-train and develop new capability across the Maintenance Support functions
**SKILLS & KNOWLEDGE**
**_
Experience_**
- One to two years of experience in an office setting in any related coordination role.
- Coordination or administrative or data entry work experience in any similar organization is an asset.
- Proficient with MS Office (Word, Excel, Access, etc.)
- TMW / TMT experience is considered an asset
- Organizational skills with good interpersonal and multitasking skills. Exceptional communication skills and computer proficiency.
- Strong organization, communication, and administrative skills
- General knowledge of transportation, fleet management, licensing compliance, road safety, and/or regulatory environments
- Self-starter with a desire to learn and grow across the Maintenance Support functions
- Fast learning and adaptable to a changing environment, systems, and responsibilities
- Ability to work with a diverse technical team under mínimal direct supervision
- Ability to influence outcomes and collaborate across and outside the organization
- Experience working in a diverse team environment with the demonstrated ability to effectively manage a wide range of tasks and responsibilities under tight deadlines.
