**About the role**
From our Oakville office, you’ll run the virtual front desk for our online clinic—answering calls and secure messages, booking and rescheduling telehealth appointments, keeping records tidy, routing messages, and closing the loop on tasks, labs, and referrals. All patient interactions are virtual (phone & secure messaging). We’re looking for someone meticulous, organized, and calm under pressure.
**What you’ll do**
- Handle inbound calls and secure messages with empathy; document thoroughly and route to the right queue or clinician.
- Book, confirm, and reschedule virtual appointments; send preparation instructions and collect consents.
- Keep records accurate and up to date: demographics, concise notes, and tasks with clear owners and due dates; close the loop on labs and referrals.
- Assist with testing‑kit fulfillment (assemble and label swab kits; prepare shipping labels and hand‑off for shipment).
- Coordinate follow‑ups and reminders with clinicians (non‑clinical coordination).
- Handle administrative tasks such as filing/scanning and maintaining organized office systems.
- Follow our communication and information‑handling standard operating procedures (SOPs); suggest improvements as we grow.
**Must‑have qualifications**
- 5+ years of related customer‑service experience in a high‑contact role (for example, healthcare, hospitality, retail service, call centre, or community services).
- Detail and follow‑through: you double‑check names and dates of birth, assign tasks with clear owners and due dates, and reliably close loops.
- Clear, respectful, inclusive communication with patients and colleagues.
- Able to work on‑site in Oakville, Monday-Friday, 9:00-5:00; possible future rotation of a weekend day in exchange for a weekday.
**Preferred qualifications (assets—training and support provided for all staff)**
- 5+ years of experience in patient‑facing healthcare coordination (clinic or virtual clinic, home and community care, hospital ambulatory, telehealth/call centre, or centralized scheduling).
- Experience with EMR/EHR or care‑management/CRM systems (Accuro familiarity is an asset).
- Comfort discussing sexual‑health topics in plain language.
- Additional languages.
**Compensation and benefits**
- Hourly: CA$27-$30 per hour (commensurate with experience).
- Benefits: Extended health and dental (after probation), paid vacation, paid sick days, Ontario statutory holidays, and on‑site parking.
- Schedule: Full‑time, on‑site, Monday-Friday 9-5; possible occasional weekend coverage in exchange for a weekday in the future.
Pay: $27.00-$30.00 per hour
Expected hours: 40 per week
