**The Role**

The Finance Administrator is responsible for providing financial, administrative and clerical services in order to ensure effective, efficient and accurate financial and administrative operations. This includes reviewing, processing and monitoring receipts, and preparing and monitoring reporting.

This role also provides full administrative assistance, including preparing documents and presentation materials, screening and responding to incoming inquiries, drafting letters, invoices, coordinating with external parties such as auditors, arranging and attending meetings, and planning events.

In this role, the incumbent will be handling sensitive matter and confidential information requiring the utmost discretion at all times.

**Provide Support to Finance Team**
- Scheduling and maintaining calendar(s) to ensure effective organization
- Prepare and create presentations / reports / documentation relating to business plan and strategy.
- Oversee the submission and approval process for journal entries within the Finance group
- Book meeting rooms and other meeting requirements as needed.
- Research (via internet, phone calls, magazines, etc.) various items as required to assist manager in his/her duties.
- Transcribe charts, correspondence, minutes, to record details.
- File, scan, retrieve, and maintain documentation databases (electronic, databases, paper) for efficiency and ease of use
- Ordering of business cards, stationery and supplies
- Prepare expense reports, monitor, and process invoices for payment

**Oversee Event Planning**
- Coordinate a variety of events (i.e. venue, date, purpose, number of attendees, budget) and to ensure needs are met
- Maintains detailed and accurate event files - obtains quotes, provides a recommendation, vendors, contact information, etc.)
- Arranges finance group activities
- Representative for the Finance group for Company community initiatives (e.g. Habitat for Humanity, Food Drives, etc.)

**Finance Coordination**
- Responsible for the completion of regular internal financial processes as directed by the Director, Finance
- Assist with the coordination of the annual budget process
- Assist with the coordination of the quarterly and annual audit, acting as frontline representative for Finance group
- Prepares and reviews invoices and monitors receipt of payments including vendor analysis
- Performs other assignments and special projects at the request of Finance Management
- Manages and maintains document storage for Finance group
- Completes review of reconciliations to ensure complete each month
- Participates in the formulation and implementation of new work procedures and forms
- Prepares monthly and quarterly reports for review
- Research and gather necessary material from various sources and assemble in required structure
- Assists in the coordination of special projects as assigned

**Act as a Link to Managers, Staff, Outside Agencies and Customers**
- Respond to enquiries from staff, managers and outside agencies to provide information
- Provide and distribute pertinent and relevant information to internal / external contacts
- Management of contact information as needed
- Collaborates with other internal staff

**What You Bring To The Team**
- 2-3 years’ experience supporting members of an accounting or finance team
- Exceptional business writing and minute taking skills
- Initiative and skill in anticipating needs
- Flexible to meeting varying workload
- Exceptional skills in Microsoft Office Suite - Word, Excel, PowerPoint, Outlook
- Exceptional oral and written communication skills
- Excellent organizational and time-management skills
- Ability to multi-task in a fast-paced environment and tight deadlines
- Ability to work effectively and collaboratively within a team environment
- Strong customer service skills
- Self-driven, motivated with the ability to work independently and in a team environment
- Carries out duties with integrity and takes responsibility for actions
- Must be available the first 10 business days of every month
- University Degree/College Diploma
