**Responsibilities**

Reporting to the Vice president of Interior Design, the Design Administrator is responsible for assisting the ID team with the administrative duties relating to all aspects of Polygon’s interior design studio and design activities. The Design Administrator will attend one weekly staff meeting and meet regularly with the Vice President of Interior Design. Responsibilities relating to the Design Administrator’s duties are as follows:
Invoice Processing
- Place orders, create purchase orders, track orders
- Upload AP invoices, ensuring project and cost codes are accurate
- Prepare cheque requisitions

Materials and Samples
- Order and maintain ID studio supplies
- Maintain and upkeep material library, working with suppliers and product reps
- Order samples and prepare project colour boards

Inventory and Reports
- Coordinate and maintain photo records of all projects
- Update and maintain art inventories
- Compile display home expense reports
- Aid in creating and updating project budgets and specifications

General Office Duties
- Book team meetings and maintain shared ID calendar
- Create and update project files and templates
- Schedule deliveries and book couriers as required
- Daily kitchen maintenance
- Any further duties as assigned by VP Interior Design

**Qualifications and Attributes**
- 1 to 2 years of office administration experience
- A keen attention to detail along with strong organizational and time-management skills
- Good communication skills (written & verbal)
- Proficiency in Microsoft Office
- A commitment to working in a cooperative, team-focused manner
- A fundamental understanding of basic accounting, and experience with Accounts Payable is an asset
- An enthusiasm for Interior Design and construction

Salary range: $42,000 - $48,000 per annum
