**Position Summary**

The Receptionist is responsible for a wide variety of clerical office duties in support of company administration. This includes coordinating and communicating office activities, greeting and screening visitors, answering and referring inbound telephone calls, and scheduling appointments.

Schedule Breakdown**:The incumbent must be able to work three weekends on (Saturday & Sunday) and one weekend off**

**Job Duties**:

- Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
- Type forms, letters, reports, and memos as necessary.
- Receive and distribute all forms of paper correspondence.
- Organize, maintain, and coordinate office records and files in their proper locations.
- Where necessary, assist in the compilation of data for various reports.
- As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
- Provide information to staff and/or clients about special activities.
- Schedule appointments for interviews.
- Ensure all forms and reports are completed as needed.
- Ensure that the appropriate evacuation procedures are carried out in the event of an emergency.
- Observe and report any security issues to the Office Manager.
- Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
- Maintain the reception in a tidy and presentable manner.
- Accept and monitor inbound shipments as necessary.
- Other duties as assigned.

**Requirements**:

- High school diploma or two-year Office Administration diploma, or an acceptable combination of education and experience.
- 2 years of direct work experience in a receptionist capacity.
- 2 years of direct work experience within a customer service orientation
- Able to write simple correspondence, including memos, letters, etc.
- General mathematical skills.
- Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
- Able to maintain filing systems and basic databases.
- Excellent analytical and problem solving skills.
- Superior telephone manners and strong interpersonal skills.
- Strong written and verbal skills to communicate with all levels of the organization and its executive team.

**Work Conditions**
- Incumbent will be required to sit for long periods of time.
- Must be able to push-pull, lift-carry 25lbs.
- Possible overtime or long hours.

**Job Types**: Part-time, Permanent
Part-time hours: 16 per week

**Salary**: Up to $20.00 per hour

Schedule:

- 8 hour shift
- On call
- Weekend availability
- Weekends only

Ability to commute/relocate:

- North York, ON: reliably commute or plan to relocate before starting work (required)

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
