We are building a culture where differences are valued and celebrated. **Office Administer/ Service Coordinator** Reporting to the Refrigeration/HVAC Service Manager, the Office Administrator/Service Coordinator performs office administration duties and acts as the primary contact for our customers ensuring a positive customer experience. **Key Responsibilities**: - Effectively schedules installations, service calls and maintenance jobs. - Promptly greets customers and answers telephone inquiries in a courteous, professional manner. - General bookkeeping duties including entering vendor invoices, bank reconciliation, tax remittance and payroll. - Prepares customer invoices for final review and sends out invoices after review is completed. - Prepares and sends out monthly statements and makes collection calls as necessary. - Prices recommended repairs and prepares quotations for review. Sends out reviewed quotes. Follows up on all quotations prepared. - Prepares maintenance contract proposals and promotes regular maintenance to all customers when appropriate. - Makes equipment and material updates/changes for customers as required in a timely fashion. - Prepares service contracts in advance of the month they are due. - Renews contracts and sends out renewal letters one month prior to contract expiration. - Performs address updates, new customer set-ups, new lead set-ups etc. in company software system. - Maintains database files. - Produces work in progress reports as requested. - Liaises with suppliers and subcontractors as required to keep projects on schedule. - Takes regular turn at on call back up. - Maintains total confidentiality inside and outside of the Company. - Adheres to company policies including but not limited to professionalism and safety. - Performs other tasks as assigned. **Work Conditions**: This position works largely in an office environment, stationed at a desk/workstation but with the ability to move around.
