Events Coordinator

**Duties and Responsibilities**:
Reporting directly to the Manager, Academic Support Operations, and receiving supervision from the Supervisor, Events and Special Initiatives, the Events Coordinator is responsible for event coordination and delivery, including development, planning, and special projects led out of the Office of the Dean, Faculty of Engineering and Design.
The incumbent is responsible for ensuring alignment of events with priorities set by the Dean and in support of student recruitment; donor, alumni, industry and government engagement; student engagement and recognition and community (campus and external) engagement. Events include but are not limited to reputational and recruitment events, academic public lectures, student success events, alumni engagement, volunteer and donor recognition and advancement events.
The incumbent liaises closely with staff and faculty within the Faculty and works closely with a wide variety of campus partners. The incumbent is responsible for maintaining positive relationships with event volunteers, campus and external partners and stakeholders as well as event suppliers.
**Qualifications**:
The incumbent must possess the following qualifications:
- Possesses experience and knowledge about event development, coordination and have a general knowledge of industry standards and practices in event planning.
- Possesses superior organizational, time management and project coordination skills.
- Exceptional interpersonal skills and the knowledge of how to use them to build and maintain effective relationships and to work successfully within a dynamic team.
- The ability to work well under pressure including prioritizing workload, working within tight and competing deadlines, and within budget.
- Superior attention to detail and the ability to communicate effectively with a broad range of university clients and general public are also required; proficiency in English spelling and grammar required.
- Initiative, creativity and resourcefulness in problem solving and the ability to adapt to changing circumstances are necessary in this position.
- Ability to work independently with mínimal supervision and also be able to work as a team member.
- Superior computer skills including expertise in the use of MS Excel, MS Word and MS PowerPoint; software database systems, such as Banner; eprocurement systems, such as eShop and expense and travel management software, such as Concur.
- Knowledge of the university’s culture, structure, services, and institutional goals and objectives is highly desirable.
- Frequent, mandatory overtime work required on weekends and weeknights (2-4 times/month); frequent, mandatory travel to recruitment, alumni and community events (2-4 times/month) in and around Ottawa and the Greater Toronto Area. This fluctuates throughout the year.
- A valid driver’s license is required.
- Certification in CPR and Smart Service is highly desirable.
- Must be able to lift and move objects as heavy as 35lbs.
- Event delivery requires various weekend and evening hours of work; as such, very limited annual leave will be approved during the peak
**Education and Experience**:
The above is normally acquired through the completion of:
- Completion of a University pass degree. Graduation from a 1-year college program in Events or Project Management is considered an asset.
- Minimum of five (5) years of progressively more responsible experience involving the conception, planning and implementation of special events. A preference
