Are you the kind of person who thrives on keeping things running smoothly and making others feel welcome? We’re looking for a **Facilities & Office Coordinator** who will be the friendly, organized, and reliable presence at the heart of our Surrey office.

In this role, you’ll deliver a WOW experience to clients, colleagues, and vendors through professional, courteous, and timely interactions. From greeting visitors and managing incoming calls to coordinating tradespeople, handling couriers, and keeping our kitchens and common spaces tidy—you take pride in every detail.

No task is too small, and your “go the extra mile” mindset ensures our office remains clean, organized, and welcoming at all times. You’ll be supported by a team that values hard work, positivity, and the occasional laugh along the way.

**This is a full-time, in-office position based in Surrey, BC (Monday to Friday), working 7:30am-4:30pm.**

**WHAT TO EXPECT**

We’re looking for someone who can hit the ground running and grow quickly into the role. Below are the key milestones we expect from a successful Facilities & Office Coordinator:
**_ Week 1 Outcomes_**:
By the end of your first week, you will have a basic understanding of:

- How to operate and direct calls through the phone system
- Mail and courier processes and daily expectations
- Kitchen and common area upkeep tasks
- Boardroom bookings and management using Outlook

**_90-Day Outcomes_**:
Within your first 90 days, you will be fully confident in:

- Managing all daily responsibilities including phones, mail, courier, boardroom scheduling, and kitchen maintenance
- Taking ownership of facilities upkeep, general maintenance coordination, and daily housekeeping duties
- Operating, programming, and maintaining our office security system
- Updating internal documents such as phone lists and floorplans
- Handling regular supply orders including office supplies, fruit, coffee, and catering

**YOUR IMPACT**
- Keep Things Moving: Organize and prepare outgoing mail, courier shipments, and tradeshow materials to ensure timely and accurate delivery.
- Support Seamless Meetings: Assist with team meetings by booking and prepping spaces, coordinating catering, and handling setup and cleanup.
- Communicate with Precision: Draft, proofread, and format internal and external correspondence with clarity and attention to detail.
- Foster a Fun Workplace: Support the Social Committee by helping plan and execute office events and initiatives.
- Promote a Safe Environment: Serve as a First Aid Attendant and help maintain Health & Safety supplies while supporting committee efforts.
- Run Important Errands: Use your personal vehicle to pick up mail, lunches, catering, and supplies as needed (mileage reimbursed).
- Pitch In Where Needed: Take on other administrative tasks that support the smooth operation of the office and the broader team.

**THIS IS YOU**
- Office Experience: You have prior experience working in an office environment, with exposure to similar responsibilities in administration, facilities, or coordination roles.
- Tech-Savvy: You’re comfortable using Microsoft Office, with intermediate proficiency in Word, Excel, PowerPoint, and Outlook.
- Reliable and Resourceful: You hold a valid driver’s license and have access to a reliable vehicle—essential for occasional errands such as picking up mail, supplies, or catering.
- Safety-Conscious: You’re certified in First Aid or are open to obtaining certification as part of the role.
- Proactive, detail-oriented: You thrive in a fast-paced office environment and take pride in keeping things running smoothly

**YOUR COMPENSATION**

At the time of this posting, the estimated annual base salary pay range for this position is $44,000-$47,000. Individual compensation within this range is determined by factors such as job-related skills, relevant experience, and education/training. This range reflects the annual base salary only and does not encompass our comprehensive total rewards, benefits, and potential bonuses that we proudly offer.
