**Administrative Assistant Job Description**
The Administrative Assistant will perform a variety of administrative duties in support of operations, memberships, and events for both BC Care Providers Association and our partner association SafeCare BC.
Position reports to the VP, Operations and Corporate Partnerships.
**Duties & Responsibilities**
**Operational Support**:
- Order office supplies and maintain inventory.
- Operate and maintain office equipment.
- Maintain electronic records filing.
- Send out mail, prepare courier drop-offs and sign for/receive courier packages.
- Liaise with building management.
- Fulfilling new staff on-boarding requirements.
**Event Support**:
- Create and manage events in our registration platforms.
- Manage participant registration, including inquires and waitlists.
- Supporting the delivery of online events.
- Coordinate on-site logistics, including catering, AV equipment, print materials, and check in for in-person events and meetings.
**Membership Support**:
- Ensure member profiles are up to date in our member portal.
- Provide information to members on our programs and set up with access.
- Assistance with member outreach and marketing material distribution.
**Competencies**
**Knowledge**:
- Client service.
- Clerical.
- Data, content, and record maintenance.
- Knowledge of the seniors living and care sector is an asset.
**Abilities**:
- Handle confidential information to the best and utmost strict professional standards.
- Function with mínimal supervision while working effectively.
- Adapt to changes with a positive attitude
- Manage multiples requests, assess priorities and achieve deadlines.
- Contribute to a cooperative team environment in which cross functions are assumed as necessary to meet department deadlines and goals.
- Think creatively as new memberships and events develop.

- Clear, effective, and excellent communication.
- Thorough with a high attention to detail with proven accuracy in a fast-paced environment.
- Mathematically competent.
**Experience and Education**
- Minimum certificate or diploma in Administration, Business Administration, or Office Administration preferred.
- A minimum two-year work-related experience with exemplary customer centric orientation.
- Experience with bookkeeping is an asset.
- Experience in Microsoft Office 365.
- Experience using event platforms such as Pheedloop or Cvent is an asset.
- Experience using association management systems or CRM such as Member 365 is an asset.
- Experience working for a not-for-profit association is an asset.
**Additional Notes**
Travel may be required on occasion**. **Membership, events, and program funding determines Administrative Assistant annual contract renewal.
