**BACKGROUND:
Ontario Racing is responsible for directing breed improvement programs, setting an annual program of races and purses, attracting new horse owners, building a fan base, and connecting the industry with government and the general public. Ontario Racing serves as the voice of the horse racing industry and works closely with the Ontario Lottery and Gaming Corporation towards the integration of horse racing into OLG’s gaming strategy.
Ontario Racing also serves as the Program Administrator for the Standardbred and Thoroughbred components of Ontario’s Horse Improvement Program (HIP) as well as the Quarter Horse Racing Industry Development Program.
A wholly owned subsidiary of Woodbine Entertainment Group, Ontario Racing Management executes the mandate of Ontario Racing and supports the vision of the Board of Directors and Horse Improvement Program Committees.
**ROLE AND REQUIREMENTS:
- With the support of the Senior Manager, HIP Administration and Governance, the Ontario Sires Stakes (OSS) Program Coordinator coordinates the eligibility of horses, collects and issues payments, and serves as the information hub for the OSS program.
- Success in this role requires excellent customer service skills, an understanding of bookkeeping and/or accounting principles, and facility with cash handling. The ability to use the complete Microsoft Suite of programs, with a particular focus on Excel, is required.
- Superior communication skills, problem-solving ability and an analytical mindset will be assets, along with a commitment to learn about all aspects of the OSS program and source information from appropriate stakeholders as required.
**KEY FUNCTIONS OF THE ROLE:
- Responsible for registration, nomination and sustaining process (stallions and OSS) including:
- Designing, printing and mailing forms to registered owners
- Collecting, recording and depositing funds received
- Working with the marketing and communications team to publicise deadlines and publish lists of horses nominated and sustained to the program
- During the racing season, May to October, balances each OSS and Prospect Series race to the allotted purse amount for auditing purposes.
- During the racing season, May to October, issues cheques for all Ontario Sires Stakes and Prospect Series races to owners, trainers, and drivers.
- Bi-annually, calculates and issues cheques to breeders who have earned Ontario Bred and Ontario Sired Rewards.
- Remits 15% Withholding Taxes monthly and issues T4-NR’s for the year.
- Compiles statistical information on the OSS program.
- Liaises with Standardbred Canada staff to:
- Develop or amend database to create cheques or compile statistics for the OSS program - Review records regarding ownership, leases and horses’ bred and sired status
- Create nomination and sustaining payment mailings
- Develops the schedule of races for the OSS Program with input from industry participants, including Ontario race secretaries.
- Works with team to prepare, edit and distribute the annual OSS Racing Guide and Standardbred Improvement Program Criteria Book.
- Works with marketing and communications team to maintain information and accuracy of OSS website; highlight successful Ontario Sired horses; remind participants of deadlines.
- Participates in the annual Prospect Series Finals, Grassroots Championships, Super Finals and other special events, in partnership with the marketing and communications team.
- Organises and facilitates the annual OSS Host Racetrack Meeting.
- Provides information and input for the Standardbred Improvement Program Committee and attends all meetings.
