We are a growing organization and currently looking for a passionate and motivated **Fleet Maintenance Coordinator **to join our winning team. **Employment Type**: Full Time **Shift**: Monday to Friday - 6 am to 2:30 pm **Reports To**: Manager - Fleet Maintenance **Office/Facility**: Calgary, AB *** The Fleet Maintenance Coordinator will be responsible for overseeing the maintenance of all company owned trucks, trailers, and chassis. The Coordinator will ensure that the scheduled maintenance and emergency nonscheduled required repairs are completed. This individual is responsible for reviewing/approving/escalating vendor invoices approval. They will be responsible for the timely data entry of all vendor invoices to meet finance deadlines for month end. **KEY RESPONSIBILITIES** - Request for quotations, and approve invoices for all services required to maintain equipment. - Manage work flow of all maintenance mechanics working at managed properties - Contact appropriate maintenance service shop for major repairs for equipment - Plan and prioritize work for reefer mechanic. - Determine needed supplies and equipment for reefer mechanic - Monitor need for equipment maintenance and repair. - Responsible for proper inventory of materials and supplies for reefer mechanic - Detect faulty operations in equipment, defective material and report those and any unusual situations to proper supervision. - Comply with safety regulations. - Update and maintain information in company records systems and department databases. - Set priorities for preventative maintenance work orders, maintenance requisitions and scheduled work. - Schedule maintenance employees to meet work order demand and regular maintenance requirements. - Adhere to departmental procedures and systems, e.g., "systems for preventative maintenance", "maintenance requisitions", scheduled work and continued quality improvement/risk management programs. - Maintain inventory of equipment, manuals and warranties. - Review all vendor invoices - Data entry processing of all R&M related invoices through TMW R&M - Perform all other duties as assigned or needed. **KEY REQUIREMENTS** - Minimum of 1-year experience in maintenance of equipment - TMW Truckmate experience considered an asset - High school diploma/GED - First Aid skills and/or certificates are considered assets - Highly motivated and able to work independently - Must be able to schedule and prioritize work for self and reefer mechanic - Must have the ability to motivate personnel to ensure they work productively, cooperatively and with a sense of satisfaction in their work. - Ability to comprehend and communicate detailed instructions orally and in writing. - Ability to multi-task and establish priorities. - Exhibit initiative, responsibility, and flexibility. - Knowledge of local, provincial and federal workplace compliance regulations, ordinances and legislation. - Strong communication and problem solving skills. - Able to create alternative solutions to problems. - Excellent time management skills. - High level of sound and independent judgment and reasoning. - Demonstrated ability to exercise necessary cost control measures. - Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment. - Able to effectively communicate both verbally and in writing. - Able to work well under pressure. - Strong attention to detail. - Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
