Do you excel at providing top notch support, managing, and organizing day-to-day tasks for senior management? Working in our fast-paced office you will have the opportunity to work on multiple projects allowing you to use a wide variety of skills and abilities. This position provides high level support, and works with the Director of Operations in activities related to financial stewardship and generosity.
**In this role you will**:
Provide administrative support for routine activities for the Director of Operations:
- Draft and edit correspondence, schedules, reports, memos and confidential material.
- Provide high level calendar management.
- Prioritize inquiries and requests while troubleshooting conflicts with little guidance; make judgments and recommendations to ensure smooth day-to-day functions.
- Record, transcribe, and distribute minutes of team meetings.
- Coordinate and oversee special events including booking facilities and making necessary arrangements.
- Assist with research and preparation for internal and external committee work of the Director of Operations.
Provide senior level administrative support to the Director of Operations’ portfolio including key strategic initiatives and special projects:
- Facilitate response to insurance related questions and manage administration of occasional insurance claims.
- Coordinate the execution of the budget process calendar across departments from early stages to final approvals.
- Facilitate meetings regarding renovation projects and design, up to the beginning of construction phase.
- Administer the process for initiating or revisiting policies.
- Awareness and monitoring of privacy policies and protection of personal information.
Stewardship Plan Coordination:
- Ensure timely execution of stewardship plan by departments: Finance, Communications, Ministry, and Executive.
- Coordinate timing of donation analysis to inform regular messaging and monthly letters to donors.
- Facilitate and partner in execution of special events for congregants such as finance workshops, estate planning seminars, and newcomer events.
**What you’ll need to thrive in this role**:
- Completion of a diploma or degree in a related field is an asset.
- Minimum of 5 years progressively responsible and diversified office and administrative experience working with senior leadership positions. Customer service skills required.
- Proficient in Microsoft 365, aptitude to learn church specific software, and technical/office equipment level.
- Strong oral and written communication, organizational, time management skills and the ability to multi-task.
- High standards of ethics, sound judgment and discernment regarding confidential matters and information.
- Demonstrate high degree of professionalism, initiative and positivity, good judgement, and decision-making skills.
- Adaptable, flexible, accepting of change, innovative mindset, interpersonal, and teamwork.
- Excellent planning and organizational skills and ability to identify key and critical items for timely response.
- Values aligned with Beulah’s mission and vision and a desire to support and assist.
- Flexible and teachable team player able to work effectively without direct supervision.
