**Your Key Responsibilities**
- Oversee project closeout, including warranty/maintenance documentation and preparation of maintenance kits.
- Prepare service quotes and manage seasonal winterizing and spring opening projects.
- Initiate invoicing, including project deposits, and send invoices to clients.
- Familiarity with accounting systems for accounts receivable and payable.
- Process invoices for payment and complete EFT forms.
- Handle contract administration and update databases with contacts and installation sites.
- Generate reports as needed.
**Your Qualifications**
- Experience in administrative support or office management roles, with a focus on accounting tasks.
- Previous experience with invoicing, accounts payable/receivable.
- Previous experience in contract administration with a focus on construction.
- Strong organizational and time-management skills with the ability to handle multiple tasks and deadlines.
- Attention to detail.
- Excellent written and verbal communications skills to interact with clients, vendors, and team members.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office.
- Valid driver’s license and access to vehicle.
**Your Education and Experience**
Certificate or diploma from a recognized post-secondary institution, with a minimum of 2 years of relevant experience, or an equivalent combination of education and experience in the accounting/administration/sales support/contract administration (construction) fields.
