**Position Description**:
- Are you looking for a challenging and rewarding position where you can utilize your organizational, communication, and time management skills? Do you have experience supporting medical education training programs and supporting physicians administratively, and are looking to broaden your experience and skills? If so, we have an opportunity for youAs an integral member of the Medical Education group, you will be reporting to the Business Operations Manager and providing administrative support to the Associate Chair of Medical Education and to the Postgraduate Medical Education Office with various projects and day to day operations.You will assist the office of Medical Education and work closely with the Department of Paediatrics Education Administrative Coordinators as an expert resource in the various credentialing requirements, policies and procedures with the following organizations but not limited to: The University of Toronto - PGME office, PARO, CMPA, CPSO and SickKids Hospital along with activities related to our various training programs. This position involves substantial contact with Education Admin Coordinators, Program Directors, The University of Toronto, and Trainees, both in Canada and internationally.This position is a 2 year contract with modified benefits, with the possibility of renewal. Yes, we do offer a hybrid working model, working approximately 2-3 days onsite per week.**Here¿s What You¿ll Get to Do**
- Maintaining and organizing complex calendars, complex meetings, and schedules
- Organizing and preparing various committee meetings, setting agendas, taking meeting minutes, following up on action items and communication with committee members
- Organizing Zoom and Teams meetings and webinars
- Assisting in the organization, planning and implementation of conferences, symposiums, and events
- Coordinating air travel, accommodations, ground transportation, conference registration fees, travel itineraries and reconciling financial entries
- Maintaining files, correspondence, databases; assisting in developing and creating posters, PowerPoint presentations; maintaining reference/citation databases
- Handling incoming inquiries and responding appropriately
- Recording and independently preparing correspondence including letters, reports, spreadsheets, and presentations
- Attending meetings and transcribing (dictation) a variety of documents and reports
- Reviewing and distributing mail and correspondence
- Requisitioning office supplies and equipment; maintaining physician memberships; processing financial entries, expense reports and corporate credit card transactions; reconciling monthly financial accounts, conference funding for trainees, and financial database management
- Leading and coordinating multiple and complex projects from draft to implementation
- Providing coverage and assisting divisional support staff as required.
- Assist with the orientation process for the incoming first year trainees and contribute to ensuring that the trainee experience from their interview through to their training at SickKids is positive experience
- Assisting with the appointment and reappointments process for residents and fellows within the Department of Paediatrics, subspecialty programs and core paediatric residency program
- Assisting with the appointment and reappointment process for international resident electives within the Department of Paediatrics
- Assisting with Verification or Training, Conference funding, Travel Reimbursement, and on Call stipend submission to the Department of Paediatrics Postgraduate Medical Education Office
**Here¿s What You¿ll Need**:
- A business or administrative degree/post-diploma program preferred
- Minimum of 3 years of senior administrative experience in medical education either in a hospital or university setting preferred
