Position Overview
We’re looking for a proactive and organized People & Office Administrator to support our Corporate Office in Canmore. In this full-time role, you’ll assist with HR, light accounting, and office coordination, while helping create a positive and efficient workplace environment. This is a great opportunity to be part of a growing team and make a real impact across multiple departments.
**Salary**: $50,000 - $53,000 yearly
**Shifts**: Full-time, Permanent
**Location**: Canmore
**Anticipated start date**: June 15, 2025
**Key Responsibilities**:
1. Administrative & Office Support
- Provide administrative support across departments and assist with general office organization.
- Greet guests and visitors at the Corporate Office, assisting them with contacts and offering coffee/water.
- Manage office supply inventory, including budgeting, restocking, and tracking.
- Oversee restocking of kitchen and bathroom supplies (coffee, tea, milk, toilet paper, hand wipes, soap, etc.).
- Maintain the cleanliness and organization of public office areas (kitchen, waiting area, boardrooms).
- Maintain and restock executive refrigerators.
- Clean and descale the office espresso machine as needed.
- Act as the main point of contact for the office cleaning company, monitoring cleaning levels and arranging additional services when needed.
- Coordinate signage updates (e.g., office/desk name tags), including working with vendors like CanGlass.
- Ensure office announcement and communication board is current and engaging.
- Organize monthly treat days, prepare birthday cards and anniversary certificates for staff.
- Lead coordination of silent auction donations for the annual charity golf tournament, including outreach, tracking, and signage.
- Manage Basecamp’s Beekeeper communication platform:

- Draft and post announcements, events, and internal updates
- Create and distribute staff posters and visual content
- Support managers with posting and provide basic Beekeeper training.
- Assist with planning and coordination of internal office events and social functions.
- Pick up, scan, and distribute incoming mail.

2. HR Administrative Assistance
- Support the People & Culture team with a variety of administrative tasks, including filing, tracking, and organizing confidential documents.
- Assist with onboarding and offboarding processes, forms, and personnel file management.
- Help plan and coordinate internal events and staff engagement initiatives (e.g., BBQs, team-building, holiday parties).
- Maintain accurate employee contact lists and directories.
- Provide general HR administrative support as needed.

3. Accounting & Operational Support
- Deposit cheques and maintain a spreadsheet to track daily deposits.
- Assist with monthly reporting of office expenses and supply costs.
- Manage bottle depot fund collection and tracking.
- Support Finance with data entry, property tax info gathering, scanning, and filing.
- Assist with utility account setup/cancellation for properties and staff accommodations.
- Maintain vehicle registration records and assist with documentation for business licenses and property taxes.
- Track and manage staff accommodation linen inventory; place orders as needed and deliver to properties.
- Assist General Managers with Canmore staff move-ins and accommodation logistics.

4. Errands & Ad Hoc Support
- Run errands within Canmore for the Corporate and Executive teams.
- Oversee Amazon and office supply orders and deliveries for Canmore office.
- Help with small office projects such as assembling desks or preparing workstations.
- Assist with special assignments or cross-departmental projects as needed.

**Requirements**:

- 1-2 years of experience in an administrative or coordinator role.
- Strong organizational and time-management skills.
- Ability to work independently, prioritize, and take initiative.
- Proficiency in Microsoft Excel, Outlook, and Word.
