The Department of Athletics & Recreation at McMaster University provides students, staff, faculty, alumni and the greater community with the opportunity to pursue athletic excellence and recreational activities. The mission of the department is to cultivate human potential and well-being through recreation and sport. The operating units of the department include interuniversity athletics, recreation, and sport medicine.

Responsible for the planning, coordination, implementation, and evaluation of a broad range of athlete support services provided to interuniversity athletes. Provides expertise in developing and implementing services and initiatives, and serves as a program resource to faculty, staff and students. Assists in the day to day administrative operations of the department.

Duties & Responsibilities:

- In collaboration with interuniversity coaches, develop processes and protocols for the recruitment of student-athletes.
- Conduct training sessions for coaches and develop recruiting tool kits
- Develop print and web-based promotional material
- Track recruits through admission cycle and provide updates to coaches
- Meet with recruits and their parents to provide information on admission requirements
- Track athletes' academic performance throughout the year and advise coaches when athletes grade drop below baseline levels
- Develop the academic support program budget for review and approval
- Provide OUA, USPORTS and Faculty rules interpretations to A&R staff, coaches and student-athletes
- Develop and coordinate academic support resources to student-athletes (advising, mentoring and tutoring)
- Schedule, plan and coordinate the delivery of annual special events (Athletic Awards, Marauder Scholar and Student-Athlete Orientation)
- Deliver information to prospective applicants and parents as a means to promote the various faculties and specific programs
- Meet with and respond to inquiries from prospective students
- Attend and represent the University at recruitment events
- Ensure the confidentiality and safeguarding of student files
- Remain current with frequent changes in all academic areas, programs, admission policies and procedures, electronic media and social networking
- Conduct reviews and evaluations of students' academic records
- Refer students to appropriate resources, information and services across the University
- Calculate and monitor changes to student registration as well as payments and overpayments and determine student eligibility of athletic financial awards
- Create spreadsheets to track financial information, including athletic scholarships
- Coordinate, award and disburse athletic scholarships to identified recipients
- Generate and provide institutional signatures and approvals
- Develop estimates of time, resources, and budgets for various program activities and events.
- Plan and coordinate a variety of events and activities such as campus tours, athlete orientation sessions, and interviews with admissions representatives
- Gather protocols and procedures from other programs to follow industry trends related to standards of care and programming
- Liaise with coaches regarding athletic financial awards offers, offer agreements, timelines and renewal offers
- Create and maintain institutional compliance of CIS and OUA policies, including eligibility, recruiting, athletic financial awards, out of season competitions
- Understand governance procedures, policy development and the judicial processes that govern interuniversity sport policies
- Assist students by providing information regarding additional support services on campus
- Coordinate Athletic Financial Awards (AFAs) program including liaising with coaches regarding offers, in addition to tracking, budgeting, renewal and processing awards to student-athletes
- Liaise and develop relationships with internal departments to advocate for the unique student-athletes challenges
- Make recommendations to improve the delivery of student-athlete services and the implementation of changes
- Maintain and update information in student database such as medical, biographical, academic and eligibility-related information
- In collaboration with others, review services and programs offered to student-athletes on a regular basis and ensure student input in the process
- Assist with the development, documentation, communication and implementation of all interuniversity sport policies
- Assist in the delivery of networking events to explore possible career opportunities for student-athletes after graduation
- Coordinate nominations, voting and selection for McMaster Athletics Hall of Fame.
- Write and maintain a variety of documents including, but not limited to, records, reports, correspondence, etc.
