Assistant Course Materials Buyer

GENERAL STATEMENT
Under the supervision of the Course Materials Buyer, this position is responsible for assisting in the purchasing and inventory maintenance of course, trade and reference material for resale. The Assistant Course Materials Buyer also participates in the flow of information in the integrated, computerized point of sale and inventory management system. The assistant contributes to a team approach through liaison and coordination with the Bookstore and other departments.
TYPICAL DUTIES
- Assists in the ordering process for special orders and mail orders (books) for departments and other clients. This involves researching titles and publishers through the internet and/or integrated computerized (POS) system, liaising with bookstore cashiers and shippers/receivers, and tracking the orders through the system;
- Works closely with Bookstore staff, Print Services, and the Copyright Advisor to ensure copyright usage is in compliance with the college’s Fair Dealings Policy and textbook adoption deadlines;
- Maintains and reports on Royalty usage in Coursepacks for bookstore accounting staff;
- Assists in the ordering process for reference stock for sale in bookstore. This includes inventory verification and making recommendations on newer titles through review of publisher and industry promotional materials;
- Places purchase orders for course-related materials, trade books and reference materials, by phone, internet and fax; obtaining up-to-date pricing and availability information and reporting same using integrated computerized (POS) system;
- Follows up with faculty and department reps for textbook adoptions, questions regarding Coursepack orders and write-offs;
- Assists in the development of communication to students relating to available/delayed course materials;
- Identifies all overstock, publisher out-of-print editions, unused course, trade or reference material and makes recommendations to Course Materials Buyer;
- Maintains ongoing re-orders for trades courses to ensure adequate quantities for intakes; liaison with trades faculty/instructors to resolve issues; communication of new trades course materials with the Course Materials Buyer;
- Works with the Course Materials Buyer, acts as a liaison with faculty/instructors and departments regarding custom textbook chargebacks;
- In General Merchandise Buyer’s absence, generates purchase orders using automated inventory software, as required;
- Assists in term-end textbook inventory counting and verification;
- Performs other duties similar in scope and responsibility.
QUALIFICATIONS
Grade 12 with one year of post-secondary courses including courses such as the Principles Program leading to Purchasing Management Association of Canada certification or a related discipline and one year of relevant experience in a post-secondary institutional bookstore or knowledge of computerized retail operations and inventory control systems or an equivalent combination of education and experience. Must have excellent interpersonal and communication skills to effectively liaise with Bookstore staff, faculty and other department reps, as well as publishers. Must have the ability to work independently and manage a heavy workload under pressure of deadlines. Excellent keyboarding skills and experience and comfort working with Microsoft Office suite. Ability to lift 30 lb boxes.
