**Reporting To**: Mechanical Superintendent
**Core Purpose of the Job**: Coordinate all planned maintenance activity by
scheduling preventive and regular maintenance with mínimal interruption to site operations.
Play pivotal role in making improvements to maintenance productivity by developing work plans and procedures, and by having the right jobs ready at the right time.
Work in coordination with other Plant Services departments to ensure that Plant Services balance their need for daily output with their need of equipment reliability through proactive maintenance.
Ensure that all internal customers receive timely, efficient and quality services whilst adhering to provincial, federal and corporate maintenance guidelines to prevent safety hazards, increase equipment longevity and improve productivity.
**Core Duties & Responsibilities**:
- Facilitate daily and weekly work planning meetings.
- Planning and scheduling all work orders for the assigned crews.
- Review OEM’s for all equipment and check against PPMs in Maximo. Update Maximo as needed to comply with OEM requirements. Add or Remove PPMs when new equipment is added or decomissioned. Assist in developing maintenance shutdown schedules integrating all activities into one comprehensive plan.
- Coordinate all maintenance work by employees and contractors.
- Creating, using and maintaining plant history, and other technical files in Maximo.
- Be a resource to others when developing new maintenance reports, standards and metrics.
- Drive improvements and a culture of continuous learning.
- Reviewing completed work orders for information, remarks, variances and other data; this includes following up with stakeholders to ensure that standards are being met on a consistent basis.
- Produce access requests and incorporate within PPM schedule in order to meet contractual time frames.
- Ensure full circle communication with all relevant and affected stakeholders in the maintenance department.
- Assist maintenance stakeholders in identifying and securing all parts and material required to complete work by providing liaison with vendors/suppliers.
- Supporting contracted maintenance services, by requisitioning PO’s, escorting/overseeing work in secure areas.
- Work with staff to manage spare part usage to maximize turns but minimize risk of running out of critical spares.
- Provide reports on the status of work and backlog for work order submission to work order completion. Status may include: waiting for approval, waiting parts, ready to schedule, scheduled, etc.
- Follow up and communicate schedule to all stakeholders.
- Continuously improve the job planning and scheduling by receiving feedback from stakeholders.
- Keep accurate metrics on the performance of planning and scheduling functions and provide timely reports for senior management review.
- Ensure compliance with and endorsement of FM Contract requirements for security, including individual RCMP security clearance as required by the Project Agreement. Monitor security tracker monthly and start clearance process with vendors/contractors/staff at least 6 months prior to their clearance expirey dates. Ability to assist Contractors/vendors/employees navigate the complicated clearance process.

- Fulfil Health & Safety responsibilities by adherence to the requirements of the Company's Health & Safety Policy and Health & Safety Management Plans
- Support the attainment and retention of ISO quality, environmental and health and safety management certifications.
- Assist business development on an as needed basis.
- Undertake such other duties appropriate to the level and character of work as may reasonably be required within the Department / Service.
**Essential Attributes**:
- Excellent working knowledge of CMMS (Computerized Maintenance Management System) - and ability to quickly learn the MAXIMO CMMS to understand the maintenance processes and proper use of the work order system, planning and scheduling and storeroom processes.
- Minimum of three years’ experience in a planning role, preferably in a similar facility.
- Good organizational skills. Demonstrated organizational and planning skills.
- Knowledge of building systems including heating, ventilation and air conditioning systems and various electrical and control systems.
- Good written and verbal communications skills and have demonstrated the ability to be approachable and tactful.
- Demonstrated knowledge of methods, materials, tools and equipment applied in the
- maintenance of a modern complex like the facility.
- Advanced skill level in Microsoft Excel. Ability to create pivot tables, etc.
- Ability to manage multiple priorities or projects simultaneously and keep them progressing through completion to post completion check lists.
