Focusing primarily on hospitalist training education, the Hospitalist Training Program Education Coordinator is responsible for organizing the education activities for hospitalist fellows for the St. Michael’s Hospital Department of Medicine. In addition, the position requires close communication and collaboration with the postgraduate Medicine Education Coordinator, along with a number of other key stakeholders including the Chief Medical Resident, the Clerkship Coordinators and the Site Program Director. Secondary activities will include supporting the postgraduate education program on an as needed basis.
This position will also provide administrative support and coordination to the Department of Medicine’s Hospitalist Training Program, reporting to the Program Director.
This position will also occasionally provide support to the Department of Medicine’s postgraduate education coordinator as needed and during the month of June to support the postgraduate coordinators in preparing for the new academic post-graduate year.
The incumbent must be a highly organized, detail and results-oriented individual to help support an excellent learner experience by ensuring effective and efficient onboarding, orientation, scheduling and tracking of hospitalist fellows.
**Duties & Responsibilities**:
- Advertise fellowship, coordinate information events, and develop key partnerships and processes that will bring interest to the fellowship by prospective fellows.- Supported by the Fellowship Director, create and maintain a Fellowship Website- Manage prospective fellow inquiries in a timely and effective manner.- Arrange documents, interviews, and committee meetings for selection process.- Act as a resource for incoming fellows for registration information including requirements for PGME, IRCC, CPSO.- Work with the Program Director to review budget for fellowship yearly. Manage payments to both internal and external sources.- Work with the Undergraduate Coordinator to assign fellow teaching sessions for medical students.- Manage the Fellowship Program Director’s calendar as related to the Fellowship.- Support the Fellowship Program Director in novel initiatives that may arise to strengthen and grow the Fellowship (e.g. organization of new education experiences and assessment modalities for fellows). Tasks will vary depending on the initiative (e.g. performing needs assessments of key stakeholders, creating project charters, organizing conferences).
Qualifications:
- College diploma required and 2-3 years of recent related experience in a learner environment e.g. university/college, student support services, academic training hospital/medical education department.- Excellent computer skills including proficiency with Microsoft Office, particularly Excel, and aptitude for adapting to new software and IT systems / networks.- Strong customer service orientation with proven ability to interact with all levels of staff, physicians, and learners.- Strong organizational skills with demonstrated attention to detail and the ability to produce accurate work with efficient turn-around time.- Excellent communication skills, verbal and written.- Excellent initiative, decision making/problem solving skills and interpersonal competence.- Demonstrated ability to work both independently and as a part of a team in a demanding and fast paced environment.- Accuracy and attention to detail with strong ability to produce accurate work within assigned time frames.- Demonstrated ability to successfully manage time effectively, multi-task, prioritize tasks and meet deadlines.- Ability to troubleshoot and problem-solve independently and in consultation with key contacts.- Ability to work overtime on occasion.- Excellent attendance record.
