This position is eligible to work remotely on a part-time basis.
**Main Function**:Plan, coordinate and supervise the administration of the Ontario 55+ Summer Games, in conjunction with the Games Community Committee (GCC).
**Characteristic Duties**: Under the general direction of the Director of Economic Development and the day-to-day direction of the Manager of Tourism and Culture or the Manager of Recreation.
1. Work cooperatively with the Chairperson, City of Greater Sudbury (CGS) staff representatives, and the GCC to develop the overall Games strategy. Contribute to, follow, and reference the GM/GCC critical path.
2. Identify the volunteer personnel of the GCC and support the Chairperson to recruit, provide orientation, and train volunteers.
3. Organize and lead monthly GCC meetings, monthly or bi-monthly area chair meetings as well as GCC Chair and Games Ontario Consultant (GOC) meetings. Lead daily meetings as the Games draw closer. Take minutes and prepare agendas for the GCC meetings and various sub-committee meetings, are required.
4. Develop and manage the Ontario Games budget to ensure a break-even or surplus budget.
5. Assist in recording expenditures, preparing tenders, and monitoring the budget in cooperation with the Financial Services Chairperson, Chairperson, and Senior Authorizing Official (SAO) Games Consultant.
6. Identify, initiate, and facilitate revenue generation for the Games.
7. Assist in booking accommodations and securing food arrangements for athletes, officials, and VIPs.
8. Develop cooperatively with the Sport Technical Chairperson a plan for the delivery of the sport components of the Games.
9. Liaise with the Provincial Sport Organizations of each identified competition sport, and the SAO to ensure that the competition needs are met.
10. Assist with the planning and delivery of the Opening Ceremonies, special events, hospitality, awards, and protocol needs.
11. Work with the Services Chairperson to develop internal and external transportation plans, a venue communications system, and a parking/security program for the Games.
12. Assist with promotions, media and marketing endeavours and create a positive image for the Ontario 55+ Summer Games in the community.
13. Manage the human resources for projects within the section. Assist in the hiring, promoting, firing, and disciplining of section employees and volunteers. Conduct performance appraisals and salary reviews as required.
14. Assist with the implementation and supervision of contracts and grants; follow up to ensure criteria was met.
15. Assist in the creation of a registration and accreditation program for the Ontario 55+ Summer Games.
16. Prepare daily reports, including a final report to the Games Ontario Consultant, and submission of ministry evaluations, as required.
17. Travel to all locations as support to the GCC and Games time volunteers, as required.
18. Lead post-Games debrief meeting and any other meetings with GCC and GOC, as required.
19. Manage Legacy Committee and any legacy projects determined by the committee.
20. Actively participate and lead GCC during set up, training, competition, and tear-down periods.
21. Develop and maintain a thorough working knowledge of CGS’s Safety Manual and the applicable provincial legislation listed therein.
22. Perform other related duties as required.
**Qualifications**:
**Education and Training**:
- College diploma in Fitness and Leisure Management, Sports Administration, or Business Administration from a recognized community college with Canadian accreditation.
**Experience**:
- Three (3) years of directly related work experience in coordinating and supervising major events.
**Knowledge Of**:
- Applicable funding sources and programs.
- Various employment and health and safety laws and practices.
**Abilities To**:
- Exercise tact, discretion, confidentiality, and diplomacy at all times.
- Strong organizational, interpersonal, written, and oral communication skills.
- Strong work ethic with the ability to work independently, under pressure, and with keen attention to detail.
- Excellent customer service and public relations skills.
- Attend evening and/or weekend meetings or other events as required.
