**Working for the Development Office**

The University of Alberta raises $140 million to $160 million annually in philanthropic support.

As part of the Advancement Services Department under the Development Office at the University of Alberta, The Office of the Recording Secretary is responsible for the management of the gift acceptance, recording and receipting processes, the creation of donation agreements, estate administration and the creation and setup of endowments for the University. The timely and professional acceptance and processing of donations is integral to the University’s reputation and relationships with all donors including individuals, corporations and foundations.

**Position Summary**

Reporting to the Manager of Donation Services, Office of the Recording Secretary, the Program Lead, Gift Acceptance and Processing leads the day-to-day operations of the Gift Processing team with a view to protect the University’s valued charitable status by providing risk due diligence and regulatory compliance in accepting and processing donations across the campus. Charitable Fundraising has faced increasing legislation, financial complexity and scrutiny in recent years and a significant amount of time is being spent on dealing with non-routine and escalated transactions in support of risk reduction and compliance.

The Program Lead, Gift Acceptance and Processing leads three important areas for the University:
1. Reviews the acceptance processes for over $150 million in philanthropic donations on behalf of the Board of Governors of the University;
2. Leads and manages the recording process for over 40,000 individual donation transactions annually with a dollar value in excess of $150 million per year;
3. Supporting effective donor relationship management and financial stewardship

The incumbent will be leading a team of 7 FTE and up to 2 full time temporary staff.

The Program Lead, Gift Acceptance and Processing exercises leadership in the areas of donation acceptance, pledge management, charitable tax receipting, policy management, and is expected to contribute at a senior level to the analysis, evaluation, and assessment of issues that arise regarding philanthropic donation acceptance, processing, reporting and stewardship. The incumbent works in partnership with Financial Services and other units on campus to ensure compliance with audit requirements, CRA and other legislation and submission of the University of Alberta charitable tax return annually.

**Duties**
- Oversees, develops and implements strategic plan for the Gift Processing unit to maximize efficiency, effectiveness, and deliver exceptional service to University donors and the Advancement community.
- Leads the charitable tax receipt issuance process for all charitable donations to the University, ensuring compliance with CRA and Income Tax Act regulations.
- Provides expert advice and counsel for the process of acceptance of philanthropic support for the University.
- Leads the Donation Processing function and ensures acceptable financial controls and audit practices, as well as process efficiency, are maintained and improved upon regularly.
- Manages and leads the timely and accurate issuance of charitable tax receipts for all donations to the University of Alberta; Leads a team of approximately 7 FTE and up to 2 temporary support staff.
