Office Administrator

Reporting to the Personnel Manager, the Office Administrator will be responsible for assisting in the day to day operations of the Horizon Leduc office, providing support to the personnel, operations and HSE departments and fulfilling administrative tasks as required. This position will also handle light reception duties including answering the phone, greeting visitors, handling mail/ couriers, and ensuring the office is presentable and tidy.
The person in this role will have the ability to remain highly confidential, reliable, professional and handle multiple projects while contributing to the goal of delivering exceptional customer service to both internal and external stakeholders.
**Essential Duties and Responsibilities**
- The main point of contact for Field Safety Training (tracking and booking safety training certificates)
- Support personnel and operations departments with administrative duties and tasks as required
- Cross train with the Operations Assitant
- Support the HSE team with projects, as required
- Assist the personnel team in managing crew processes and documentation
- Work closely with field employees to ensure that pre-access site requirements are met
- Greet all visitors, answer calls, and connect callers/ visitors with the appropriate Horizon employee
- Provide mail support: receive couriers, stamp and sort incoming mail, mail outs for departments as required, sort rig mail and distribute daily to appropriate employee
- Maintain postage and copier supply and levels
- Assist with data entry into the HRIS system as required
- Manage incoming and outgoing mail/ couriers as required
- Maintain office equipment
- Maintain clean and presentable reception and office areas
- Perform other tasks as required
**Specific Knowledge, Skills and Abilities**
- 2 - 5 years of administrative experience
- Proficient in the use of Microsoft Office
- Strong organization, attention to detail and prioritization skills
- Excellent customer service skills with an emphasis on professionalism
- Strong communication and interpersonal skills
**Special Conditions of Employment**
- Overtime may be required on occasion, based on activity levels.
