MEDISCA, on behalf of its affiliate, LP3 Network, is currently looking for a **Travel & Tradeshow Coordinator**. LP3 Network was founded to provide the healthcare community with exceptional programs in continuing pharmacy and medical education. Their mission is to provide healthcare professionals with a platform of educational programs that will have a positive impact on professional development within the healthcare industry.
The main goal of the **Travel, Tradeshow Coordinator** is to schedule all travel arrangements needed, and fully prepare any itineraries, documents and appointments. This position will coordinate all aspects of annual events from reserving booths to arranging travel and marketing material.
**The opportunity**:
Coordinate Travel Arrangements
- Use the preferred booking travel tool
- Researches and compares available travel and hotel accommodations to identify the best available option for each travel need.
- When travel arrangements are within approved travel reasons and budget limits, makes all arrangements and reservations as requested.
- Prepares travel itineraries and distributes travel arrangements and schedules to all appropriate staff
- Obtains approval from leadership for travel requests and expenses that exceed established limits.
- Advises travelers of and assists with any need for specialized travel documents such as visas or passports.
- Monitors and facilitates the use of company air travel credit cards, frequent flyer programs, and other applicable rewards and loyalty programs.
- Create and upkeep travel folders (profiles, passports, travel numbers/outside sales representatives information & travel directory.
- Performs other related duties as assigned.

Coordinate Canadian & USA Events
- Schedule participation in annual tradeshows
- Booth & badge registration for all participants.
- Provide information kit to each team member attending tradeshows
- Coordination of tradeshow elements; shipping and logistics of marketing material and equipment.
- Coordination of pre & post meetings with Sales team
- Tracking of all expenditures/budgets

Coordinate and prepare marketing and promotional material for Sales and Events
- Maintain the relationship with warehouse to ensure all incoming shipments are received accordingly and inventory materials are up to date.

**You**:

- Three (3) to five (5) years’ experience as a travel agent or in an administrative role working with corporate travel.
- College degree; significant work experience can substitute for the degree.
- Ability to manage multiple projects and work assignments from a variety of staff.
- Sense of urgency.
- Promotes a positive, solution driven attitude
- Excellent communication skills required; fluent English and French (oral & written).
- Ability to translate English to French
- Excellent time management, planning and organizational skills.
- Advanced interpersonal skills and the ability to maintain a professional image
- Knowledge of Microsoft Office (Word, Outlook, Excel and PowerPoint) required.

Preferred
- Bachelor's degree or better
