Alexandra Hospital, Ingersoll and Tillsonburg District Memorial Hospital are actively seeking applicants for an Integrated staffing Assistant position. "Integrated" means that the successful incumbent will work at both hospital sites. The Staffing Assistant is responsible for performing staff scheduling and payroll preparation for assigned service (Nursing, Support Services, etc.). **Key Responsibilities**: - In collaboration with the department leader, arrange unit orientation as required. - Schedule staff to meet department human resource needs, consistent with collective agreements, policies, procedures and/or required legislation, and in consultation with area Leader(s). - Prepare computerized time entries for team members for processing by Payroll. Download and review data to ensure accurate reporting and compensation - Maintain records for team members, including vacation entitlement and leave records. - Screen, sort, and distribute incoming correspondence. - Check and dispatch outgoing correspondence. - Maintain current telephone numbers for team members and list of shift availability. - Answer the telephone and respond to inquiries. - Assist in care and maintenance of equipment. - Prioritize assigned tasks and completes within specified times - Promptly report errors/events or situations of actual or potential event or harm - Maintain privacy and confidentiality. - May be required to perform other related duties. **Qualifications**: - Ontario Secondary School Graduation Diploma or equivalent. Post-secondary diploma in Office Administration or equivalent program preferred. - Demonstrated proficiency in Microsoft Office Suite including strong skills in Excel is required. Prior experience utilizing various database and scheduling programs is preferable. - One year of experience in hospital staffing and scheduling experience required. - Prior working knowledge of union contracts and direct experience working in multi-union environment is an asset. - Excellent organizational and interpersonal skills. - Ability to multi-task and meet deadlines in a busy environment with frequent interruptions. - Ability to relate to others. Must be able to establish positive interpersonal relationships with team. - Must possess strong listening skills along with the ability to express yourself clearly to others. - Ability to demonstrate tact, discretion and maintain confidentiality at all times. **Other pertinent conditions**: - Salary as per the Non-Union Salary Schedule ($22.38 per hour to $26.18 per hour) As a part of our commitment to the health and safety of our patients, staff and community from COVID19, the Alexandra Hospital, Ingersoll and Tillsonburg District Memorial Hospital requires that all staff have received the required doses of COVID-19 vaccine approved by Health Canada.
